Position Summary
Apna Bharat Passport and Visa Services is seeking a dedicated and organized Assistant Manager to oversee the day-to-day operations of the office while ensuring exceptional customer service and efficient processing of passport, visa, OCI, and consular applications. The ideal candidate will support the management team, supervise staff, maintain operational efficiency, and ensure compliance with client service standards and applicable government requirements.
Key Responsibilities
- Assist in managing the daily operations of the office and ensure smooth workflow.
- Supervise, train, and support customer service representatives and administrative staff.
- Review passport, visa, OCI, PCC, attestation, and other consular service applications for completeness and accuracy before submission.
- Ensure all applications comply with the latest requirements of relevant government authorities, embassies, consulates, and service providers.
- Coordinate with clients regarding document requirements, application status, and processing timelines.
- Resolve client concerns and provide timely, professional customer service.
- Monitor application processing and maintain accurate records using the company's case management systems.
- Prepare daily, weekly, and monthly operational reports for management.
- Schedule staff, assign workloads, and monitor employee performance.
- Maintain confidentiality and security of client information and documentation.
- Coordinate with courier services, government agencies, and third-party service providers for document processing and delivery.
- Monitor office inventory, order supplies, and ensure proper maintenance of office equipment.
- Assist in developing and implementing operational policies and procedures to improve efficiency and service quality.
- Support business development initiatives, customer outreach, and service promotion activities.
- Ensure compliance with company policies, privacy regulations, and applicable legal and regulatory requirements.
- Perform other administrative and managerial duties as assigned.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Management, Office Administration, or a related field.
- Minimum 2–3 years of supervisory or management experience in customer service, immigration support, travel services, or administrative operations.
- Strong organizational, leadership, and problem-solving skills.
- Excellent written and verbal communication skills in English. Knowledge of Punjabi and/or Hindi is an asset.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
- Ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail.
- Strong interpersonal skills and a customer-focused approach.
Working Conditions
- Full-time, office-based position.

Pay: $18.00-$22.00 per hour
