Overview
We are seeking a dynamic and detail-oriented Medical Secretary/Administrator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, ensuring smooth administrative operations within a busy medical office. Reporting to the Physician, the Medical Secretary is responsible for planning and monitoring the daily organization of the clinic/office and providing secretarial support to the Physician(s) in their clinical practice, academic and research responsibilities.
Responsibilities
- Greet patients and visitors warmly, providing excellent front desk service and answering multi-line phone systems efficiently.
- Schedule appointments, coordinate patient flow, and manage calendar updates using electronic medical records systems
- Verify insurance information, process billing, and handle patient payments accurately.
- Maintain and update patient records in compliance with privacy regulations, utilizing electronic medical records platforms.
- Prepare and organize medical documentation, including reports, referrals, and correspondence for healthcare providers.
- Assist with administrative tasks such as filing, faxing, scanning documents, and managing office supplies to ensure a well-organized workspace.
- Support clinical staff by managing appointment reminders and follow-up communications with patients.
- Orders and receives office supplies, and maintains office equipment
- Schedules travel and books accommodations for Physician
- Schedules meetings, booking rooms, circulating notices and agendas.
- Schedules procedures/tests for patients, providing related instructions to patients as required
- May arrange for patient transfer as required
- Receives and files test results in patient records; phones patient with test results when directed by Physician
- Maintains all patient records, ensuring they are accurate and current
- Facilitates proper flow of information to appropriate departments/ programs and maintains an accurate follow up system
- May perform other duties similar in nature as assigned
Qualifications
- Proven experience as a Medical Secretary or Administrative Assistant in a healthcare setting, preferably within dental or medical offices.
- Strong knowledge of medical terminology and familiarity with electronic health record systems like Cerner or Powerchart
- Prior experience working as a medical secretary or in a busy medical office is highly desirable.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Proficiency in handling patient-facing front desk operations with professionalism.
- Demonstrated office experience with attention to detail, confidentiality, and excellent communication skills.
- Knowledge of medical office procedures, billing processes, and compliance standards.
