We are looking for a Management Systems Specialist to support a major agriculture organization in Calgary, Alberta on a Long-term Contract assignment. In this role, you will work closely with element leadership to move management system initiatives from concept through implementation, ensuring each phase is completed in line with governance expectations, approved methods, and quality standards. You will help coordinate contributors, keep documentation organized and consistent, and ensure outputs are practical, integrated, and ready for operational use.
Responsibilities:
- Work in close partnership with the assigned element lead to plan, organize, and advance deliverables across the full design and implementation lifecycle.
- Guide work through governance checkpoints by preparing required materials, confirming completion criteria, and supporting progress through stage gate approvals.
- Lead workshop planning and facilitation, document outcomes, and capture decisions, assumptions, follow-up items, and next steps.
- Coordinate subject matter experts and stakeholders across business functions to maintain alignment, resolve gaps, and support timely decision-making.
- Develop and refine management system documentation such as frameworks, standards, procedures, process maps, governance materials, role definitions, and implementation support tools.
- Review outputs for consistency, quality, usability, and adherence to approved templates, terminology, design principles, and audit requirements.
- Track schedules, milestones, risks, dependencies, and open actions, and raise concerns with practical mitigation recommendations when delivery issues emerge.
- Prepare summaries, status updates, steering materials, and executive-ready reporting to support oversight and informed decision-making.
- Support the transition from design into rollout by assembling implementation packages, coordinating readiness activities, and assisting with adoption planning.
- Demonstrated experience in project delivery, management systems, business process design, or a related specialist or consulting capacity.
- Strong ability to create, organize, and maintain clear documentation, reports, logs, and structured deliverables.
- Proven skill in facilitating cross-functional workshops and working effectively with subject matter experts, operational teams, and senior leaders.
- Solid understanding of governance frameworks, stage gate methods, quality assurance practices, and risk management principles.
- Experience monitoring timelines, dependencies, action items, and milestone progress within a structured project environment.
- Excellent communication and stakeholder management skills, with the ability to drive clarity, alignment, and follow-through.
- Ability to review complex materials for completeness, consistency, and implementation readiness.
- Background in agriculture, operations, engineering, or other regulated and process-driven environments would be considered an asset.
