Tartan Tails Veterinary Hospital is looking for a compassionate, energetic, and highly organized Client Services Representative to join our growing team.
As part of the Nova Scotia SPCA, Tartan Tails is more than a traditional veterinary hospital. We provide high-quality, spectrum-of-care veterinary medicine that helps pets receive the care they need while supporting the people who love them. Every day is busy, rewarding, and different.
Our Client Services Representatives are at the heart of everything we do. You are often the first person our clients meet or speak with, setting the tone for every visit while helping ensure the hospital runs efficiently. Key Duties and Responsibilities:
As a Client Services Representative, you will:
Client Care & Communication
- Welcome clients and visitors in a warm, professional, and compassionate manner.
- Answer a high volume of incoming phone calls, emails, and in-person inquiries.
- Schedule, confirm, and manage appointments efficiently.
- Provide accurate information about hospital services, appointments, and procedures.
- Guide clients through check-in, payment, paperwork, and discharge processes.
- Respond to client concerns with empathy while helping de-escalate challenging situations.
- Maintain accurate client records and document communications within the practice management software.
- Communicate effectively with veterinarians, technicians, assistants, and leadership to ensure seamless patient care.
Administrative Responsibilities
- Maintain accurate client and patient records.
- Support daily administrative functions and hospital operations.
- Assist with reports and other administrative tasks as required.
- Help support hospital initiatives and Nova Scotia SPCA programs.
- Contribute to a positive, respectful, and team-focused workplace.
- Perform other duties as assigned.

The ideal candidate will have
- Previous experience in customer service, reception, or client-facing role.
- A passion for helping people and their pets.
- Outstanding verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Excellent attention to detail and accuracy with data entry.
- Confidence working in a fast-paced, high-volume environment with frequent interruptions.
- The ability to remain calm, professional, and compassionate under pressure.
- Strong problem-solving and time management skills.
- A collaborative approach and willingness to support the entire hospital team.
Assets
- Experience working in a veterinary hospital or animal care environment.
- Experience using EzyVet or other veterinary practice management software.
- Completion of a related post-secondary program.

Physical Requirements
- Physical ability to sit, as well as walk and/or stand on your feet throughout a normal workday, is required.
- Physical ability to lift and carry 40 pounds
- Ability to work in a busy hospital environment with frequent interruptions and changing priorities.
Hours of Work
This is a full-time permanent position requiring a minimum of 32 hours per week.
The hospital is open Monday through Friday, with some scheduled shifts extending until 7:00 p.m. to support client care. No weekends, statutory holidays, on-call responsibilities, or regularly scheduled overtime shifts.
