About Lightwell
Lightwell Homes is a Vancouver-based real estate developer and emerging multi-strategy alternative-asset platform with a portfolio of active developments and an ambitious growth mandate. We are building a finance function that can scale with the business, and we are looking for a detail-driven administrator to own day-to-day accounts payable and provide broad financial administration support across the organization.
Role Overview
The Accounts Payable & Financial Administrator is responsible for the full-cycle accounts payable process and a range of supporting financial administration duties. This role ensures vendors, trades, and consultants are paid accurately and on time, that records are clean and audit-ready, and that the finance team has the timely, well-organized information it needs. It is an ideal opportunity for someone organized, dependable, and eager to grow within a developing finance function.
Key Responsibilities
Accounts Payable
- Process the full AP cycle: receive, verify, code, and enter vendor invoices, trade billings, and expense claims.
- Match invoices to purchase orders, contracts, and progress draws; resolve discrepancies with project managers and vendors.
- Prepare and process payment runs (EFT, cheque, wire) and obtain required approvals in line with authorization policy.
- Manage holdbacks and lien-related payment requirements on construction draws in coordination with project teams.
- Maintain vendor master data and tax documentation, and supplier statements; reconcile accounts and follow up on outstanding items.
Financial Administration
- Assist with bank, credit card, and general ledger reconciliations.
- Support month-end close, including accruals, journal entries, and AP aging reports.
- Maintain organized, audit-ready electronic and physical financial records and filing systems.
- Track and administer recurring obligations such as utilities, insurance, property costs, and intercompany charges.
- Prepare GST/PST and related remittance support and assist with expense and cost reporting.
- Provide documentation and schedules to external accountants and auditors as requested.
- Support cash-flow tracking and ad hoc reporting for the finance team.
General
- Respond professionally to vendor and internal inquiries regarding payments and accounts.
- Identify and recommend improvements to AP and administrative processes and controls.
- Maintain strict confidentiality over financial and corporate information.
Qualifications & Experience
- 2+ years of accounts payable and/or financial administration experience; experience in real estate, construction, or development is a strong asset.
- Diploma or certificate in accounting, finance, or business administration (or equivalent experience).
- Solid understanding of full-cycle AP, basic accounting principles, and Canadian sales tax (GST/PST).
- Proficiency with accounting software (e.g., QuickBooks, Sage or similar) and strong Excel skills.
- Familiarity with construction draws, holdbacks, and progress billing is an advantage.
