The Human Resources Business Group is pleased to be partnering with one of our valued clients to recruit an experienced Office Manager & Client Services Coordinator.
Our client is a well-established and growing professional services firm seeking an organized, proactive Office Manager who enjoys creating order, supporting a team, and delivering exceptional client service.
This is an existing position within the organization and an excellent opportunity for someone who thrives in a fast-paced office, enjoys working with people, and takes pride in keeping operations running smoothly.
What You'll Do
As our client's Office Manager & Client Services Coordinator, you'll be the first point of contact for many clients while ensuring the office operates efficiently behind the scenes.
Client Administration
- Monitor and manage incoming emails and client communications.
- Process electronic client payments.
- Prepare and send new client onboarding packages, engagement documents, quotes, and information checklists.
- Enter and maintain accurate client information within Sage software.
- Print, organize, and prepare client documentation for professional staff.
- Follow up with clients regarding outstanding information and documentation.
- Assist clients with general inquiries while providing exceptional customer service.
Office Management
- Answer incoming phone calls and return voicemail messages promptly.
- Maintain organized physical and digital filing systems.
- Prepare client packages and outgoing mail.
- Keep administrative records current and accurate.
- Maintain workflow tracking spreadsheets and monitor file progress.
- Assist the professional team with administrative support throughout the year.
Workflow Coordination
You'll play an important role in ensuring work moves efficiently through the office by:
- Tracking client files from intake through completion.
- Monitoring outstanding documentation.
- Following up on unpaid invoices.
- Supporting staff by preparing files, scanning documents, and maintaining workflow accuracy.
- Helping improve office procedures and administrative processes.

Qualifications
Preferred qualifications include:
- Two or more years of office administration or office management experience.
- Experience working in a professional office environment.
- Strong computer skills, including Microsoft Office (Excel, Outlook, and Word).
- Experience with Sage software or other accounting software is considered an asset.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Experience with payroll is considered an asset.
