PKF Lawyers, Manitoba’s Law Firm, is seeking a career-minded, detail-oriented professional for a full-time Administrative assistant/Receptionist position at our Carman location. Responsibilities will include, but are not limited to:
Front Desk:
- Greet and welcome clients and visitors in a professional and friendly manner, promptly notifying the relevant Firm members of their arrival
- Efficiently manage a multi-line telephone system, providing prompt and courteous service and working closely with team members to direct calls to the appropriate personnel
- Receive deliveries, faxes, and emails and route them to the proper recipient on a timely basis in coordination with the team
- Monitor outgoing deliveries to ensure they are picked up on a timely basis
- Coordinating appointments to optimize office resources and prevent scheduling conflicts
- Maintain professional appearance of boardrooms and conference rooms, ensuring they are always clean, organized, and client-ready
- Assist with filing, data entry, and other administrative tasks as needed
Daily Financial Operation:
- Monitor and check bank accounts daily; process incoming payments and client retainers.
- Record all credit card payments accurately and prepare daily bank deposits.
- Print cheques for legal assistants/secretaries as required
- Generate, issue, and distribute client invoices
- Organize, binder, and systematically file all invoices and vendor receipts.
- Review vendor statements, process payments, and resolve any account discrepancies.
- Run regular financial and operational reports for management review.
Administrative task:
- Assist lawyers with client communications and manage daily office tasks, including printing, scanning, and handling faxes.
- Accurately complete and prepare various legal and administrative forms in accordance with lawyer instructions.
- Process and run monthly time reports across major client files and active matters.
- Coordinate lawyers' calendars, including scheduling client meetings, court dates, and firm commitments while managing competing priorities
- Monitor and order office supplies regularly to ensure smooth daily operations.
- Other duties as assigned
Skills and Qualifications:
- Excellent written and verbal communication and interpersonal skills with clients and colleagues
- 1+ years experience as a office admin/front desk is considered an asset
- Exceptional organizational abilities and meticulous attention to detail are essential
- Ability to manage competing priorities and organize tasks effectively
- Demonstrated ability to work effectively within a professional team environment while contributing to a supportive and engaging workplace culture
- Proficient in using Microsoft Office Suite
- Strong technical aptitude with ability to quickly master new software applications,
- Proficiently manage calendar systems, and maintain organized digital file storage
- Proficient in operating various office equipment, including a multi-line telephone console system, computer, and photocopier
- Ability to work well independently and follow instructions with little supervision
