Cambridge Skin and Wellness is the partnership between Dr. Arnott, who is a Skin Specialist, and Nurse Practitioner (NP) Anna Pelleboer. We are passionate about skin and offer skin care services and treatments including general medical, surgical, and cosmetic (aesthetic) dermatology services and products.
We are looking for a Medical Office Administrator to join our team!

Responsibilities
- Welcoming patients in a warm, friendly manner, accompanying them to and from treatment rooms, and thanking them sincerely on departure
- Greeting patients, facilitating patient flow, and prepping rooms between patients
- Process incoming referrals and other clinical documentation
- Respond to patients in a timely, professional, and empathetic manner while maintaining patient confidentiality
- Schedule appointments, register patients, and validate health cards
- Manage referrals and book appointments based on triaged referrals
- Respond promptly to incoming telephone and fax inquiries, voicemails and emails
- Document appropriately within the patient chart
- Invoice and collect payments
- Manage the team's schedule
- Maintain stock of clinical supplies
- Working with maturity and professionalism alongside other staff members
- Adhering to appointments in a timely manner by monitoring time schedule
- Maintain quality service by following clinic protocols
- Maintaining product knowledge to promote and sell services, and retail products
- Maintain a high level of professionalism and competence within the medical aesthetics industry
- Assisting with office tasks
Preferred experience and qualifications
- College Medical Office Administration Diploma and/or experience in medical offices Or Bachelor Degree
- 1-2 years of relevant medical office experience or other public-facing administrative experience
- Fluency in Accuro EMR and Jane EMR experience is valuable, but your ability to quickly learn any complex administrative software is most important
- Outstanding interpersonal skills and a warm, friendly manner
- Ability to communicate and work effectively in a team setting
- Excellent written, verbal, and electronic communication skills
- Ability to maintain patient confidentiality
- Excellent oral and written communication skills
- Very organized, detail-oriented and able to multi-task
- Knowledge of office procedures and medical terminology
- Availability to work some evenings (occasional and dates provided)
