Garcha Bros is a fast-growing, multi-location food and retail business in Canada in search for a highly organized and detail-oriented Office Administrator to support daily business operations, ensure efficient coordination across departments, and maintain strong administrative control.
This role is ideal for someone who can multitask effectively and has a strong sense of ownership and accountability.
Key Responsibilities
Administrative & Office Management
- Manage day-to-day administrative operations, including documentation, filing, and record keeping
- Maintain organized digital and physical records (contracts, invoices, compliance documents)
- Coordinate internal communications between head office, stores, and vendors
Data Management & Reporting
- Maintain and update operational reports, spreadsheets, and trackers
- Assist in preparing reports for management review
- Ensure accuracy and completeness of business data across systems
Coordination & Scheduling
- Schedule meetings, store visits, and internal reviews
- Coordinate with franchise locations and internal teams for operational follow-ups
- Track action items and ensure timely completion
Financial & Compliance Support
- Assist with invoice tracking, expense records, and basic accounting coordination
- Support documentation for audits, CRA compliance, and vendor agreements
- Maintain confidentiality of financial and business data
Vendor & Customer Support
- Liaise with vendors and service providers for administrative matters
- Support customer inquiries and route them to relevant departments
Qualifications & Skills
- 2–4 years of experience in an administrative or coordination role
- Strong proficiency in Microsoft Excel, Word, and Google Workspace
- Experience with POS systems or retail/food industry operations is an asset
- Excellent organizational and time-management skills
- Strong communication skills (written and verbal)
- Ability to handle confidential information with integrity
- Detail-oriented with strong problem-solving ability
Preferred Attributes
- Experience working with multi-location businesses or franchise systems
- Basic understanding of accounting processes (A/R, A/P tracking)
- Ability to work in a fast-paced, performance-driven environment
- Proactive mindset with ability to identify gaps and improve processes
