Job Summary
We are seeking a highly organized, proactive, and detail-oriented Scheduling Assistant to join our team. This is a key administrative position responsible for coordinating employee schedules across our offices nationwide while supporting the day-to-day operations of our Winnipeg office.

Key Responsibilities
- Develop, coordinate, and maintain employee schedules for multiple offices across Canada.
- Ensure appropriate staffing levels are maintained to meet operational requirements while balancing employee availability, client needs, and business demands.
- Collaborate with branch managers, supervisors, and leadership teams to coordinate scheduling requirements and operational coverage.
- Process schedule changes, shift adjustments, vacation requests, and other staffing modifications in a timely manner.
- Monitor daily staffing levels and proactively resolve scheduling conflicts and last-minute coverage needs.
- Maintain accurate attendance, scheduling, and staffing records.
- Communicate schedule updates clearly and professionally with employees and management.
- Support onboarding by coordinating schedules for new hires and training assignments.
- Assist with general office administration, documentation, filing, correspondence, and other administrative duties.
- Work closely with Human Resources and Operations to ensure compliance with company policies and applicable employment standards.
- Identify opportunities to improve scheduling processes, workflows, and administrative efficiencies.
Qualifications
- High school diploma or equivalent required; post-secondary education in Business Administration or a related field is considered an asset.
- Previous experience in scheduling, workforce coordination, dispatch, administration, or office management.
- Experience coordinating schedules across multiple locations or large teams is considered a strong asset.
- Excellent organizational and time-management skills with the ability to prioritize competing demands.
- Strong interpersonal and communication skills.
- High level of accuracy and attention to detail.
- Proficient with Microsoft Office (Outlook, Excel, Word) and scheduling or workforce management software.
- Ability to work independently while collaborating effectively within a team environment.
- Professional, dependable, and able to maintain confidentiality.

Schedule
- Full-time
- Monday to Friday
- On-call rotation as required
- Occasional weekend coverage as operational needs require.
Location
This is an in-person position based in Winnipeg, MB (R2C 3L9). Applicants must be able to reliably commute or relocate prior to their start date.
