Role Overview
SJC is seeking a Digital Asset Management Operations Specialist - AEM & Automation to support a major Walmart content operations program. The role will manage the accurate, timely, and well-governed movement of approved assets from SJC's asset management environment into Walmart's Adobe AEM asset library.
This is a hands-on operations and technology role for someone who is highly organized, comfortable with metadata and naming standards, detail-oriented with file quality, and capable of using light scripting or automation to reduce manual upload effort. The ideal candidate understands that asset management is not simply file handling; it is a controlled operational workflow that protects accuracy, findability, compliance, reuse, and speed-to-market.
The successful candidate will work closely with content operations, project management, production, studio, QA, product/engineering, and Walmart stakeholders to ensure every asset package is complete, correctly structured, uploaded to the right destination, and trackable through delivery.
Key Responsibilities
Asset Intake, Organization and Governance
- Manage the intake, organization, validation, and handoff of approved digital assets across Walmart-related content workflows.
- Maintain clear folder structures, file naming conventions, asset package standards, metadata rules, and version-control practices.
- Ensure final assets, source files, derivatives, thumbnails, supporting documentation, and metadata are complete before upload or handoff.
- Identify missing assets, incorrect file types, naming issues, duplicate files, metadata gaps, version conflicts, or other readiness risks before assets are published into Walmart's AEM library.
- Support consistent application of Walmart, SJC, Content Factori, and campaign-specific asset governance standards.
AEM / DAM Upload Execution
- Manage controlled upload of approved assets from SJC asset management systems into Walmart's Adobe AEM asset library.
- Prepare upload packages according to Walmart's required taxonomy, metadata, folder hierarchy, campaign structure, channel requirements, and usage standards.
- Validate successful uploads, confirm assets are in the correct AEM locations, and ensure they are searchable, properly tagged, and available to the appropriate Walmart teams.
- Support asset status tracking across intake, approval, upload, validation, exception management, and final delivery.
- Maintain upload logs, issue trackers, exception notes, and delivery records that can support program reporting and auditability.
Metadata, Taxonomy and File Standards
- Apply and maintain metadata standards across campaign, channel, SKU, supplier, product, usage-rights, language, file type, expiry, and approval-status fields where required.
- Help define practical metadata rules that improve searchability, reuse, reporting, and downstream channel handoff.
- Work with project management, production, and Walmart stakeholders to resolve unclear asset naming, taxonomy, versioning, and ownership questions.
- Support asset-level governance for bilingual deliverables, channel-specific derivatives, campaign naming, seasonal moments, and approved master assets.
- Identify opportunities to standardize repeatable asset-package structures for eCommerce, digital banners, site, email, social, signage, retail media, and other Walmart content outputs.
Scripting, Automation and Workflow Improvement
- Write, adapt, or maintain light scripts that reduce manual asset handling, repetitive renaming, metadata preparation, package validation, upload preparation, or reporting effort.
- Use practical automation techniques to batch rename files, validate folder structures, check required metadata, identify duplicates, generate upload manifests, or reconcile uploaded assets against delivery trackers.
- Partner with product/engineering teams where deeper platform integration, API usage, or workflow automation is required.
- Document scripts, repeatable processes, upload procedures, handoff rules, and operational controls so the workflow is sustainable and transferable.
- Continuously identify manual workarounds, process gaps, recurring upload issues, and opportunities to improve speed, accuracy, visibility, and governance.
QA, Tracking and Reporting
- Perform asset readiness checks before upload, including file type, naming, resolution, channel requirement, language, metadata, version, and package completeness validation.
- Track upload status, open exceptions, missing inputs, rework requests, approval gaps, and completed deliveries in a structured way.
- Support reporting on asset throughput, upload timing, exception volume, SLA performance, metadata completeness, and AEM/DAM handoff quality.
- Escalate risks early when missing inputs, technical issues, unclear ownership, or late changes could affect Walmart delivery deadlines.
- Contribute to post-cycle readouts by identifying root causes, recurring issues, workflow improvements, and automation opportunities.
Cross-Functional Collaboration
- Work closely with Walmart program teams, SJC project managers, studio/production teams, creative teams, QA, product operations, engineering, and client stakeholders.
- Act as the operational bridge between asset production, asset management, AEM upload requirements, and Walmart content delivery needs.
- Translate file and metadata requirements into clear instructions for creative, production, PM, and technical teams.
- Support onboarding, documentation, and training for internal users who contribute to the asset handoff workflow.
- Maintain a calm, solutions-oriented approach in a high-volume retail production environment with tight deadlines and changing priorities.
Required Experience and Skills
- 3+ years of experience in digital asset management, DAM operations, content operations, marketing operations, production operations, ecommerce content, or a related role.
- Hands-on experience working with DAM systems, asset libraries, content management platforms, or enterprise file management workflows.
- Experience with Adobe Experience Manager Assets / AEM Assets is strongly preferred; exposure to Adobe Creative Cloud, SharePoint, cloud storage, or other DAM platforms is an asset.
- Strong understanding of metadata, taxonomy, file naming, folder structure, version control, asset status tracking, and delivery governance.
- Ability to manage high volumes of assets accurately while maintaining quality, organization, and attention to detail.
- Comfort working with spreadsheets, upload manifests, file trackers, CSVs, asset inventories, status reports, and exception logs.
- Strong written and verbal communication skills, with the ability to explain requirements clearly to technical and non-technical stakeholders.
- Proven ability to manage multiple priorities, identify risks early, and keep stakeholders aligned in a fast-moving production environment.
Technical, Automation and Platform Expectations
- Ability to write or adapt practical scripts using tools such as Python, JavaScript, shell scripting, PowerShell, or similar scripting languages.
- Comfort automating repetitive file operations such as batch renaming, metadata preparation, file validation, duplicate detection, folder checks, manifest creation, and upload reconciliation.
- Basic understanding of APIs, structured data, CSV/JSON/XML, metadata mapping, and system-to-system handoff concepts is an asset.
- Experience with Adobe AEM workflows, DAM APIs, asset ingestion tools, bulk upload utilities, or content workflow integrations is a strong asset.
- Comfort partnering with engineering or product teams to define requirements for more advanced automation, integration, reporting, or workflow tooling.
- Ability to document technical processes in plain language so operational teams can follow and maintain the workflow.
Ideal Candidate Profile
- Highly organized and detail-oriented; understands that small naming, tagging, or versioning errors can create major downstream issues.
- Operationally disciplined but technically curious; comfortable improving manual workflows through scripting and automation.
- Strong file governance mindset, with an instinct for structure, consistency, auditability, and repeatability.
- Able to work independently while keeping PMs, production teams, technical teams, and client stakeholders informed.
- Calm under volume pressure and able to prioritize accurately when deadlines, asset counts, or upload requirements change.
- Comfortable working between creative/content teams and technical systems without needing to be a full software developer.
