Municipal Administrative Assistant
Position Summary
The Town of Millet is seeking a highly organized, motivated, and professional Municipal Administrative Assistant to join our team. Reporting to the Chief Administrative Officer (CAO), this position provides a wide range of administrative support to the municipal office while assisting with legislative compliance, human resources administration, financial processes, and community programs. The successful candidate will possess strong organizational skills, excellent communication abilities, and the capacity to manage multiple priorities in a fast-paced municipal environment.
Key Responsibilities
Administrative Support
- Provide administrative support to the CAO and Administration Department.
- Prepare documents for Council and Administration.
- Maintain accurate filing systems, records, and confidential documentation.
- Provide reception and customer service assistance as required.
- Serve as backup for other administrative staff during absences or peak workloads.
Legislative and Records Management
- Assist in ensuring municipal compliance with applicable legislation, including the Municipal Government Act (MGA), the Protection of Privacy Act (POPA), and the Access to Information Act (ATIA).
- Assist with records management, document retention, privacy requests, and information management practices.
- Maintain confidentiality of sensitive municipal information at all times.
Financial Administration
- Assist finance, when needed, will train
- Assist with budget tracking and financial reporting as required.
Human Resources & Safety
- Coordinate and administer Workers' Compensation Board (WCB) claims and related documentation.
- Assist with employee onboarding and general human resource administration.
- Oversee and coordinate the Town's employee wellness program.
Community Programs
- Coordinate and oversee the Community Cupboard Program.
- Assist with community initiatives and special projects as assigned.
General
- Provide administrative support for municipal projects and initiatives.
- Assist with election, census, or emergency management activities as required.
- Perform other related duties as assigned.
Qualifications
The successful candidate will possess:
Education
- Degree or diploma in Business Administration, Business Management, Local Government Administration, Public Administration, or a related field.
Experience
- Minimum two (2) years of municipal government experience.
- Experience working within a municipal administrative environment is required.
Knowledge & Skills
- Working knowledge of municipal legislation, including the Municipal Government Act (MGA), Protection of Privacy Act (POPA), and Access to Information Act (ATIA).
- Experience with municipal software is considered an asset.
- Strong computer proficiency, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to prioritize and manage multiple tasks while meeting deadlines.
- High level of accuracy and attention to detail.
- Ability to exercise sound judgment and maintain strict confidentiality.
- Strong interpersonal skills with a customer service focus.
- Ability to work independently and collaboratively within a team environment.
- Experience with GIS and Municipal taxes is an asset
Preferred Qualifications
The following would be considered assets:
- Knowledge of municipal accounting procedures.
- Experience with records management systems.
- Local Government Administration certification or related municipal training.
