Role and Objectives:
The Project Coordinator Modular & Materials plays a central coordination role in supporting modular construction projects by aligning material planning, procurement, and production readiness with project schedules. Working closely with Project Managers, the Procurement, Design, and Production teams, this role translates project scope, drawings, and Bills of Materials into clear, accurate, and forward‑looking material requirements that support timely purchasing and efficient production execution.
This position is responsible for coordinating material planning activities across multiple projects, ensuring material requirements are clearly defined, tracked, and aligned with changing project timelines and priorities. The Project Coordinator proactively identifies gaps, risks, and long‑lead items, supports submittal and purchasing workflows, and helps ensure material requirements are well organized and actionable for procurement and inventory teams. While this role may provide support related to on site material management, its primary focus is on planning, coordination, and cross‑functional alignment.
Operating at the intersection of project coordination, procurement, and production, the Project Coordinator Modular & Materials contributes to continuous improvement by supporting standardized BOM structures, improving material planning processes, and enhancing visibility through ERP and material tracking systems. This role plays a key part in improving production readiness, reducing material‑related delays, and supporting scalable, repeatable modular operations.
Responsibilities:
Project Coordination
- Support Project Managers on prefabricated and modular projects
- In collaboration with Project Management tender scopes to vendors and subcontractors, negotiate terms and conditions and sub-contracts with vendors
- Coordinate material specifications with the Design Team, Project Manager, and external design team as required
- Track status of submittals, approvals, and purchases to ensure timely delivery of materials
Material Planning and BOM Management
- Support translation of project scope, drawings, and schedules into clear material requirements
- Develop, review and validate Bills of Materials for accuracy, completeness, and alignment with project scope in close coordination with the Project Manager, Design Manager and Production Supervisor
- Identify missing materials, inconsistencies, or gaps early in the planning process
- Develop forward looking material requirement lists to support procurement and production
- Support development and continuous improvement of BOM accuracy, structure, and standardization across projects
Project and Procurement Alignment
- Work directly with Project Managers to ensure material requirements align with project timelines and priorities
- Provide clear, accurate, and timely material requirements to support purchasing activities
- Identify risks related to long lead items, scope changes, or incomplete information
- Support the Procurement team by ensuring material requirements are well defined and actionable
- Ensure materials required for upcoming production are clearly identified in advance
- Contribute to improving material planning processes, systems, and cross-functional workflows between project management, procurement, and production
Reporting and Continuous Improvement
- Support development of standardized processes for material planning, procurement alignment, and production readiness
- Identify inefficiencies and make recommendations to procurement and production for practical improvements to support scalable modular operations
- Track and report material gaps, discrepancies, and recurring issues
- Identify opportunities to improve material planning, handling, and workflow efficiency
- Support development of standardized processes for BOM management and production readiness
- Contribute to continuous improvement initiatives across modular operations
- Support implementation and optimization of ERP and material tracking systems to improve visibility and efficiency
Role Clarity
- In collaboration with the procurement and production teams, partner in defining, planning, and coordinating material requirements to support production
- Works closely with Project Managers, the Procurement Team, and Inventory Coordinators to ensure alignment across planning, procurement, and production
- Support purchasing activities where required by helping clarify material requirements, quantities, timing, and creating purchase orders
- Does not lead inventory management but contributes to material visibility and accuracy through planning and coordination
- Acts as the link between project scope, material requirements, and production readiness
Requirements:
- High school diploma required
- Post secondary education in construction, manufacturing, or supply chain is considered an asset
- Experience in manufacturing, construction, modular, or project-based environments is preferred
- Experience working with Bills of Materials, production planning, or material coordination is an asset
- Strong understanding of material flow, production processes, and project coordination
- Ability to read and interpret construction drawings, BOMs, and project documentation
- Strong attention to detail with a proactive and structured approach to problem solving
- Effective communication skills with the ability to collaborate across multiple teams
- Ability to plan ahead and identify risks before they impact production
- Familiarity with ERP or inventory systems is an asset
- Ability to work in a fast paced, evolving environment
Work Conditions
- Primarily on site in Castlegar, with onboarding in Vancouver as required
- Occasional exposure to production floor and storage yard environments
- Occasional lifting, walking, and use of PPE when entering operational areas
Compensation Package:
- Salary: $71,520.00 - $89,400.00 (Dependent on experience)
- Schedule: Monday - Friday
