Location - This role is hybrid with a mix of remote and in-person work at North Campus, Edmonton.
Reporting to the Director, Office of Education, the Program Coordinator provides dedicated graduate academic administrative support to the faculties and programs in the College of Social Sciences and Humanities (CSSH), working collaboratively with their peers and contacts in the faculties and GPS to support graduate program administration.
By providing expert policy and business process support, the incumbent is seen as a knowledge and procedure expert who works proactively to resolve issues and continually improve processes.

- Work closely with faculty and staff in graduate programs and provide information on College administrative services

Create communities of practice at the college level to facilitate collaboration and the sharing of best practices. Develop shared templates and tools to improve workflows

Partner with GPS to enhance business processes, optimize system functionality and increase capacity during peak admission periods

Provide training and mentorship for new staff, onboarding; provide short-term direct administrative support to assist with graduate student affairs and the implementation of initiatives during periods of limited capacity

Administrative support for graduate admission processing on program basis (academic admission decisions remain in the academic unit)

Administrative support for graduate awards processing on program basis (academic award decisions remain in the academic unit)

Provide support for graduate governance processes, calendar changes, etc.

Support College-wide graduate program initiatives (e.g. workshops, course inventory, etc)

Minimum two years’ experience in a related role (graduate services/program administrator, graduate student advisor, etc)

Undergraduate degree; combination of education and experience will be considered

Proficiency with Google Suite (particularly Sheets) and MS Office (particularly Excel) is essential. Knowledge and proficiency in admissions Slate system is an asset

Strong attention to detail

Demonstrated ability to develop positive and professional working relationships with departments/faculties, and stakeholders at all organizational levels

Ability to work independently and to build and maintain professional working relationships as a trusted team member

Excellent communication (oral and written) and interpersonal skills

Strong analytical and organizational skills, including problem assessment and escalation

Strong knowledge of University policies and procedures, and academic program requirements; knowledge of University governance processes is an asset
