Job Summary
We are seeking a proactive and detail-oriented Order Desk Clerk to join our dynamic team. Responsibilities
1.Site Measurement Conversion & QBO Order Processing
- Convert customer-provided square footage and site measurements into exact ordering units.
- Create, manage, and convert Estimates, Sales Orders, and Invoices in QuickBooks Online.
2. Inventory & Stock Allocation in QBO
- Monitor real-time QBO quantity-on-hand (QOH) vs. reserved stock to prevent over-promising materials to customers.
- Issue internal pick tickets to the warehouse floor
- Perform regular stock reconciliations to ensure physical warehouse inventory matches QBO system records.
3. Customer Accounts, Payment Processing & Financial Hand-off
- Receive and process customer payments from multiple channels (email, EFT, EMT, cash, cheque, etc.) and accurately apply payments to customer accounts in QBO.
- Collect and apply customer deposits/prepayments in QBO
- Maintain and monitor Accounts Receivable (A/R) to ensure timely collection of outstanding balances.
- Process customer returns and restocking fees, generating corresponding Credit Memos and Inventory Adjustments in QBO according to company return policies.
- Resolve billing or line-item discrepancies directly with customers prior to final invoicing.
4. Delivery & Logistics Coordination
- Schedule delivery company pick-ups for customer drop-offs and communicate timelines to warehouse fulfillment crews.
Skills
- Proven office experience with strong administrative skills
- Proficiency in databases, ERP systems, and Microsoft Excel for data entry and reporting.
- Industry Context: 1–3 years in building materials, flooring, hardware, or retail counter customer service preferred.
- Attention to Detail: Meticulous tracking of product codes, unit-of-measure conversions, payment processing, and sales order details
- Math Skills: Strong proficiency in practical math—converting site measurements/square footage into final ordering quantities
- Ability to work independently while maintaining attention to detail in a fast-paced setting
- Language Skills: Fluency in English is required; proficiency in Chinese (Mandarin and/or Cantonese) is strongly preferred
Working Conditions: Standard office/desk environment within a warehouse facility.
Pay: $19.00-$25.00 per hour
