Position: Order Management Coordinator
Department: Supply Chain
Reporting to: Director of Supply Chain, Customer Delivery

The Order Management Coordinator is responsible for the end-to-end management of customer orders, ensuring accuracy, timeliness, and compliance with customer requirements. This role acts as a key liaison between customers, sales, logistics, warehouse operations, and finance to ensure seamless execution of order processing, fulfillment, and invoicing activities, while maintaining high levels of customer satisfaction.
Responsibilities:
- Manage end-to-end customer orders, including entry, validation, fulfillment, invoicing, and PO processing, ensuring accuracy in pricing, quantities, product details, and shipping requirements.
- Monitor order status, manage backorders, and resolve discrepancies or issues (order, shipment, or billing) within established timelines.
- Handle customer claims and ensure proper documentation and follow-up through resolution.
- Serve as the primary point of contact for customer inquiries related to orders, including status, availability, and issues.
- Maintain accurate customer account information and provide proactive updates on delays or exceptions.
- Coordinate with warehouses, logistics providers, and internal teams to support timely order fulfillment.
- Maintain shipping instructions, track shipments, and escalate issues as needed.
- Collaborate with Sales, Finance, and Supply Chain to align on inventory, pricing, and order execution.
- Ensure required approvals are obtained for exceptions such as special orders or pricing deviations.
- Maintain data accuracy across systems and generate reports on order status and performance.
- Support analysis to identify trends, issues, and improvement opportunities.
- Ensure compliance with company policies and procedures.
- Contribute to process improvements, support audits, and provide team coverage or other duties as required.
Qualifications:
- Post-secondary education (Bachelor's degree or College Diploma) in Business Administration, Supply Chain Management, or a related field
- At least two (2) years hands-on experience in invoicing/order management or similar role
- Experience in generating invoices, verifying accuracy of billing information, and resolving discrepancies to ensure accurate invoicing processes.
- Skilled in running reports using various software tools (e.g., ERP systems, Excel) to analyze order data, track performance metrics, and identify trends for process improvement.
- Knowledge of Netsuite and Electronic data interchange (EDI) is considered a strong asset
- Proficient in processing orders accurately and efficiently, ensuring timely fulfillment and adherence to customer requirements.
- Familiarity with order management systems and Microsoft Office suite (particularly Excel – Pivot tables, vlookups) to efficiently manage orders, invoices, and reports
- Effective time management abilities to prioritize tasks, meet deadlines, and manage multiple orders simultaneously in a fast-paced environment.
- Keen eye for detail to review orders, invoices, and reports for accuracy, ensuring compliance with company policies and customer requirements.
- Excellent interpersonal and communication skills, able to work effectively with internal and external stakeholders
- Proven multi-tasking capabilities with a high level of accuracy and thoroughness
- Ability to handle high volume and pressure with the ability to prioritize tasks successfully
- A team player with a positive attitude who is flexible regarding change in a fast-paced work environment and job requirements
- Reliable, self-motivated, and capable of working independently with minimal supervision.
Salary Range: $45,000 - $55,000 Annually. The salary range shown reflects the expected compensation for this position. The final salary offered will be determined based on a holistic assessment of the candidate’s experience, education, training, and alignment with the role’s requirements.
