The Highway Dispatcher is responsible for building and maintaining strong business relationships with multiple drivers to seamlessly coordinate them to successfully service customer loads. Ensure to maximize equipment and driver utilization while communicating effectively and efficiently both internally and externally to achieve high levels of service.
Responsibilities will include:
- Ensuring all driver PTAs are updated and accurate. Including inquiring with driver and investigating hours of service to ensure PTA is achievable
- Review plans sent for each driver prior to dispatching, ensuring it is achievable and if not to discuss with planner to review
- Dispatch all drivers on fleet, as assigned by Operation Manager, with load information, confirm driver is able to accurately execute plan and ensure driver is informed of all details and / or specific information necessary pertaining to customer as well as driver requirements including any necessary permits
- Ensure that delivery time and schedules are met based on customers booking details
- Work to achieve tractor utilization and driver mileage targets provided by Operations Manager
- Communicate any delays or potential service failures in a timely manner to impacted Operations team members, Customer Service Representatives, as well as Operations Manager so they in turn can communicate to customer and seek resolution
- Documenting driver observations into TMW and follow through with accolades if positive or follow through with safety and disciplinary actions if necessary
- Forwarding driver day off requests to Operations Manager for approval
- Assisting driver with directions, trip planning or any other queries needed to successfully execute plan
- Effectively, efficiently communicate any breakdowns to all relevant parties in a timely manner
- Follow up and communicate with drivers to ensure all necessary customs paperwork is sent in as soon as possible
- Updating third party customers as directed by Planners for broker loads
- Negotiating, persuading, motivating and / or encouraging drivers to execute every plan and to start next plan after reset
- Developing and maintaining a good working relationship with each individual driver on fleet
- Be patient and listen to driver concerns and follow up on them in a timely manner
- Communicate effectively and use conflict resolution skills to diffuse any conflicts that may arise with driver. Determine steps and measures necessary to follow up with resolution
- Working with driver to help them achieve mileage goals and ensure these goals are in line with organization goals. This includes communicating with impacted Planner to develop a strategy to achieve
- Monitor highway driver time management to ensure effective use of their time
- Proactively initiate discussions with Planners, Customer Service Representatives and other relevant operations members to trouble shoot current and potential operational challenges
- Communicate effectively and efficiently at all times with team members to properly service freight
Qualifications:
- Analytical and critical thinking skills
- Strong problem-solving skills
- Proven team player with ability to align position goals with corporate strategic goals
- Prove strength in communication and relation building
- Minimum of 2 years of experience in a dispatch or planning role will be an asset.
- Minimum of 1 year of customer service experience would be an asset
- Some post-secondary education is an asset
- Must be legally allowed to work full time in Canada
