Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental offices is a plus, but not required. The Receptionist will play a vital role in maintaining smooth office operations and ensuring a positive experience for clients and staff alike.
Responsibilities
- Greet visitors and clients warmly, ensuring a professional front desk presence
- Manage multi-line phone systems, directing calls appropriately with excellent phone etiquette
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records using QuickBooks and other office software
- Handle incoming and outgoing correspondence, including filing, photocopying, and scanning documents
- Assist with administrative tasks such as proofreading, organizing files, and managing office supplies
- Support customer service efforts by addressing inquiries promptly and professionally
- Provide support for bookkeeping tasks related to billing or invoicing as needed
- Maintain a clean and organized reception area to promote a welcoming environment
Experience
- Previous receptionist, customer service, or administrative experience preferred
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong communication and interpersonal skills
- Strong computer skills including data entry, typing, and document proofreading
- Excellent organizational skills with attention to detail
- Demonstrated customer service skills with the ability to handle multiple phone lines efficiently
- Familiarity with front desk operations, filing systems, and multi-line phone systems is desirable
- Professional attitude and appearance
- Ability to work independently and as part of a team
