Position Overview
The Project Coordinator – Service Department provides coordination, scheduling, documentation, communication, and administrative support for the Electrical Service Department. This role is responsible for coordinating service requests, maintaining technician schedules, supporting customers and field staff, and ensuring work orders, documentation, and project information are accurate, complete, and processed in a timely manner.
Working closely with Service Managers, technicians, customers, vendors, and internal departments, the Project Coordinator helps ensure service work is delivered efficiently while maintaining a high level of customer service and operational excellence.
Duties & Responsibilities
Coordination
- Coordinate service requests, technician schedules, dispatching, and administrative activities.
- Create and maintain work orders, purchase orders, quotations, service records, and customer documentation.
- Monitor service requests from initiation through completion, ensuring timely follow-up and resolution.
- Coordinate technician assignments, materials, equipment, and resources required to complete service work efficiently.
- Adjust schedules and priorities to accommodate emergency service calls, customer requests, and changing field conditions.
Communication & Administration
- Act as a primary point of contact for customers regarding scheduling, service requests, and project updates.
- Communicate professionally with customers, technicians, vendors, subcontractors, and internal departments.
- Review documentation for accuracy prior to billing, purchasing, and work order closeout.
- Track outstanding approvals, documentation, materials, and other open action items.
- Maintain organized project and service records in accordance with company standards.
Collaboration & Process Improvement
- Work closely with Service Managers, field staff, purchasing, accounting, and other departments to support efficient service operations.
- Support with material procurement and monitor delivery timelines for scheduled work.
- Assist with billing and project closeout by ensuring documentation is complete and submitted on time.
- Identify opportunities to improve processes, increase efficiency, and enhance customer service.
- Represent Site Connect professionally while supporting company policies, safety standards, and operational excellence.
Skills & Qualifications
- 2–3 years of experience in the electrical, service, construction, or related industry is required.
- Previous experience in project coordination, administration, dispatching, purchasing, customer service, or technical operations support is considered an asset.
- Strong organizational skills with the ability to maintain accurate records, trackers, schedules, files, and documentation.
- Excellent time management skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to provide clear updates, coordinate between teams, and escalate issues when required.
- Demonstrated ability to take ownership of assigned tasks and follow them through to completion.
- Customer-focused mindset with the ability to build positive relationships and provide professional, responsive service.
- High attention to detail with strong accuracy in documentation, data entry, and record keeping.
- Ability to quickly learn new software systems, workflows, industry terminology, and company processes.
- Experience coordinating with electrical suppliers or vendors to source materials and equipment is considered an asset.
- Proficient with Google Workspace, Microsoft 365, Bluebeam, PDF editing software, shared file management, and other business software.
- Ability to work independently while collaborating effectively within a team environment.

Pay: $60,000.00-$70,000.00 per year
