The Project Coordinator is the steady hand behind the scenes on SCMI's commercial projects. Working closely with the Project Manager, and fully supported by them, you'll keep documents organized, keep everyone informed, and keep projects moving in an orderly, predictable way from start to finish. It's a role built for someone who takes pride in getting the details right, follows a process carefully, and is the person others rely on to keep things on track.

What You'll Do
PROJECT PRE-PLANNING
- Navigate project documents and track/manage drawing coordination.
- Assist in coordinating start-up meetings.
- Review prints of all upcoming jobs prior to SCMI starting on-site, and work with the purchaser to pre-purchase materials and equipment.
- Review prints to ensure systems are properly planned and coordinated — flag issues to the Project Manager.
- Provide accurate locations for concrete sleeving and other penetrations.
- Complete site visits prior to project start to help map out installation and provide clear direction.
- Maintain data in BuildOps: ensure permits are pulled and equipment information is current.
- Manage shop drawing submissions — compile markups, submit for approval, and follow up with GC/Engineer to keep reviews on schedule.
- Manage fire-stopping submittals for each project.
- Ensure every project receives a completed startup binder, job box, and required startup equipment (ladders, lights, extension cords).
- Keep the latest drawings, supporting documents, and specifications loaded in BuildOps.
- Assist the Project Manager with equipment selection on design-build jobs, ensuring selections match energy modelling requirements where applicable.
ONGOING PROJECT COORDINATION
- Coordinate with General Contractors, Builders, and Project Owners to keep project objectives on track.
- Attend crucial site meetings and bi-weekly planning meetings.
- Send files to the project administrator for BuildOps uploads with clear direction on placement.
- Support supervisors by ensuring all required data is available within SCMI systems.
- Report progress to managers, engineers, and inspectors as requested.
- Help coordinate ordering and delivery of materials and equipment for efficient installation.
- Attend relevant safety meetings and provide project updates when required.
- Resolve problems as they arise — and always represent SCMI professionally.
- Manage and track as-built drawings with site Foremen and hand them off to commissioning at project completion.
- Update and maintain labor progress charts; report monthly (or as required) to top management, supervisors, and foremen.
- Raise RFIs as new information is needed from Engineer/GC and follow up for timely response.
- Track changes via PCNs and site instructions; work with the estimator to ensure changes are quoted promptly, and follow up with GCs for price quote approval.
- Ensure drawing-change documents reach the site team without delay.
- Work closely with the Project Manager, estimator, and purchaser to select equipment that meets technical requirements and stays within budget.
- Work closely with site foremen for timely resolution of site issues.
PROJECT CLOSEOUT
- Track as-built drawings through to project completion and hand off to commissioning staff.
- Assist the Project Manager in compiling information for Post-Mortem meetings — compile minutes and ensure suggested changes are implemented on future projects.
- Assist the Project Manager in conducting close-out / post-mortem meetings.
OTHER DUTIES
- Keep project forecasting current for all commercial projects; collect updates from PMs and stakeholders and communicate schedule changes bi-weekly at planning meetings.
- Collect data for bi-weekly man-loading forecasts.
- Create project-based standard operating procedures.
- Maintain labor profiles from past jobs to inform manpower projections for upcoming work.
- Develop and maintain excellent relationships with GCs, engineers, and trade partners.
- Assist the Project Manager with administrative functions and processes.
- Other tasks as periodically reviewed and assigned.
What You Need
- Reliable transportation to and from our Grande Pointe, MB office (transit options are limited).
- Willingness to learn the mechanical contracting side of the business and grow into the role.
What Helps (Nice to Have, Not Required)
- Project coordination experience in commercial HVAC, mechanical contracting, or a related construction trade.
- Post-secondary diploma in HVAC, Mechanical Engineering Technology, Construction Management, or equivalent trade experience.
- Ability to read and interpret mechanical drawings, schematics, equipment schedules, and Division 23 specifications.
- Proficiency with Microsoft 365 (strong Excel) and Bluebeam Revu.
- Working knowledge of a construction management platform such as BuildOps, Procore, Autodesk Construction Cloud, or PlanGrid.
- Familiarity with QuickBooks Online (QBO).
- Strong written and verbal communication, and the ability to manage multiple priorities under deadline.
- Valid Manitoba Class 5 driver's licence and clean driver's abstract.
