Front Desk Receptionist / Administrative Assistant – Property Management

Job Summary
We are seeking a professional, organized, and personable Front Desk Receptionist / Administrative Assistant to join our property management team. This role goes beyond front desk duties and includes supporting day-to-day property management operations and administrative tasks.
The ideal candidate will serve as the first point of contact for tenants, owners, and clients, while also assisting property managers with operational and administrative responsibilities. Strong communication, attention to detail, and the ability to multitask in a fast-paced environment are essential.
Key Responsibilities
- Greet tenants, clients, and visitors professionally, ensuring a positive first impression
- Answer and direct incoming calls with excellent phone etiquette
- Perform accurate data entry using systems such as Yardi and other platforms
- Assist property managers with:
- Tenant communication
- Maintenance coordination and tracking
- Lease documentation and file management
- Maintain organized physical and digital filing systems
- Schedule appointments, showings, and inspections
- Prepare correspondence, notices, and basic reports
- Coordinate and track maintenance requests through CMMS systems
- Respond to tenant and client inquiries, ensuring timely and professional follow-up
- Support leasing and client engagement activities when required
- Perform general office duties (copying, scanning, document preparation, supply management)
Requirements
- Previous experience in an administrative or office role (property management experience preferred)
- Experience with Yardi or similar systems is an asset
- Strong organizational and multitasking skills
- Excellent communication skills and professional demeanor
- High attention to detail, especially in data entry and documentation
- Ability to work efficiently in a fast-paced property management environment
- Customer service experience is strongly preferred
