ABOUT THE OPPORTUNITY
BrydonGama is conducting a search on behalf of a well-established Toronto law firm seeking a Legal Accounts Payable Specialist to join their finance team. This is a permanent, full-time, in-office role for a finance professional who is comfortable working in a legal environment where accuracy and compliance are non-negotiable.
The firm manages a combined AP and trust accounting function in a single seat. The successful candidate will handle day-to-day accounts payable alongside regulated trust account processing — two functions that require both financial precision and an understanding of the professional services environment they operate in.
Compensation: $65,000 – $75,000 | Company-Paid Benefits Effective Day 1 | 2 Weeks Vacation
THE ROLE — WHAT YOU WILL DO
- Monitor and manage the firm's AP inbox, reviewing and triaging incoming invoices and payment requests
- Enter and post invoices accurately to the firm's accounting systems (Clio and QuickBooks Online)
- Prepare and execute weekly payment runs — cheques, EFTs, and wire payments — and manage urgent payment requests as they arise
- Process client disbursements accurately, ensuring expenses are documented, coded, and recoverable
- Prepare and process trust cheque requisitions and trust-related payments in accordance with firm policy and Law Society of Ontario (LSO) requirements
- Process trust transfers and maintain accurate trust account records in compliance with LSO trust accounting rules
- Reconcile trust transactions and trust balances, ensuring accuracy at all times
- Prepare annual CDIC reporting for trust beneficiaries
- Reconcile vendor statements, resolve discrepancies, and respond to vendor inquiries
- Support month-end AP reconciliations, accruals, and expense analysis
- Reconcile corporate credit card statements and employee expense reports
- Collaborate with lawyers and staff firm-wide on invoice coding, approvals, payment status, and expense questions
- Support audit requests and maintain organized financial documentation
- Assist with maintaining and improving AP procedures and internal controls
WHAT WE ARE LOOKING FOR
- Minimum 2–4 years of accounts payable experience in a professional services environment — law firm, accounting firm, or similar
- Experience with trust accounting or regulated client fund management is a significant asset
- Familiarity with Clio (legal practice management software) is strongly preferred
- Experience with QuickBooks Online or similar accounting platforms
- Working knowledge of LSO trust accounting rules is an advantage
- Strong proficiency in Microsoft Excel
- Knowledge of GST/HST invoice processing requirements
- Exceptional attention to detail — this role requires accuracy, not just speed
- Professional, discreet, and comfortable managing confidential financial information
- Strong communication skills — this person works directly with lawyers and staff firm-wide
- Diploma or degree in Accounting, Finance, or a related field preferred
THE ENVIRONMENT
This is a boutique law firm with a collaborative, professional team culture. Transaction volumes are manageable — this is not a high-volume processing role. What matters here is getting it right every time: trust accounting compliance, accurate disbursement tracking, and clean reconciliations. The person who thrives in this seat will take pride in the quality of their work, communicate clearly with the lawyers they support, and bring a sense of ownership to the function.
The role is fully in-office, five days a week, in downtown Toronto.
