Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. Duties
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Prepare, proofread, and edit correspondence, reports, and presentations ensuring accuracy and clarity.
- Perform data entry tasks with high accuracy using Microsoft Office applications, including Word and Excel, as well as bookkeeping functions utilizing QuickBooks.
- Organize and maintain filing systems both electronically and physically for easy retrieval of documents.
- Assist with front desk responsibilities such as greeting visitors, managing mail distribution, and supporting office operations.
- Coordinate with clients and vendors through email and electronic signature platforms like DocuSign.
- Support administrative projects including proofreading documents, organizing files, and managing office supplies inventory.
- Provide exceptional customer service by addressing inquiries promptly and professionally.
- Perform general clerical duties such as typing reports, data entry, and maintaining organized records.
Requirements
- Proven experience in an administrative or clerical role within an office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and familiarity with multi-line phone systems.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills along with professional phone etiquette.
- Experience with bookkeeping software such as QuickBooks is preferred.
- Ability to handle sensitive information with discretion and confidentiality.
- High level of attention to detail with excellent proofreading skills.
- Demonstrated ability to manage multiple projects simultaneously in a fast-paced environment.
- Office experience including front desk duties is desirable.
- Typing speed of at least 60 words per minute is preferred.
