OFFICE ADMINISTRATOR

We are seeking a detail-oriented Office Administrator with strong accounting experience to support our growing consulting firm. This is a key position responsible for supporting accounting, payroll, and administrative functions while managing day-to-day office operations.
The role can be structured as part-time for the right candidate, with the potential to transition to full-time hours for someone with strong experience and the ability to take on additional responsibilities.
This position is ideal for someone who enjoys balancing accounting responsibilities with broader office coordination in a professional services environment.
KEY RESPONSIBILITIES
Accounting & Finance
- Manage Accounts Payable and Accounts Receivable
- Perform account reconciliations and support financial record-keeping
- Process invoices, track collections, and follow up on outstanding balances
- Assist with payroll processing and maintain accurate employee records
- Enter and maintain data in Quickbooks Online (experience preferred)
- Complete and submit Source Deductions and WSIB reporting
Administration & Office Operations
- Oversee daily office operations including phones, mail, filing, and general organization
- Maintain and improve administrative systems and workflows
HR & General Support
- Assist with employee onboarding and HR record-keeping
- Support internal team coordination and general administrative needs
Qualifications & Experience
- Minimum 3+ years experience in an accounting or bookkeeping role (AR/AP, invoicing, payroll)
- Experience with QuickBooks Online is required
- Advanced proficiency in Microsoft Excel and Word
- Strong attention to detail and accuracy
- Ability to manage multiple priorities and deadlines
- Excellent communication and interpersonal skills
- Accounts Payable and Receivable

- Assist in human resources functions such as onboarding new employees and maintaining employee records
- Support budgeting activities and financial record-keeping
- Oversee office operations including mail distribution, filing systems, and general office upkeep
- Assist with payroll processing and maintain accurate records
- Utilize QuickBooks for financial transactions (account reconciliations, invoice processing, data entry)
- Self-motivated with the ability to work independently
