ABOUT FORTIUS MECHANICAL
Fortius Mechanical is a British Columbia based mechanical contractor providing HVAC, refrigeration, and plumbing service to commercial and institutional clients across the Lower Mainland. Our service department is the heartbeat of our business. Fast response times, sharp diagnostics, and clean paperwork are what keep our clients calling back. We're looking for a Dispatcher who can run a busy dispatch board, keep our technicians and project crews moving, and stay on top of our preventive maintenance schedule.
POSITION SUMMARY
The Service Dispatcher runs the daily flow of field work at Fortius. You'll dispatch service technicians to reactive calls, send crews out to active project sites, and keep our preventive maintenance program on schedule so nothing slips through the cracks. This is a high volume, fast paced role where strong communication, calm prioritization under pressure, and a good memory for who's where and what they're doing make all the difference.
KEY RESPONSIBILITIES
Dispatching
- Receive incoming service calls, emails, and portal tickets; gather equipment details, site contacts, and problem descriptions.
- Triage calls by urgency (no heat, no cooling, refrigerant alarms, water leaks) and dispatch the right technician for the job.
- Dispatch technicians and crews to active project sites based on the daily plan from the Service Manager and Project Managers.
- Communicate ETAs and updates to customers proactively; manage expectations when schedules shift.
- Coordinate after-hours and on-call rotations, including holiday and weekend coverage.
Scheduling
- Build and maintain the daily and weekly schedule, balancing emergency service calls, planned project work, and PM visits.
- Adjust the schedule in real time as priorities change, callbacks come in, or jobs run long.
- Keep technicians moving by anticipating parts, ladders, lifts, and access requirements before they leave the shop.
- Support technicians in the field with basic parts sourcing, confirming model numbers, and contacting suppliers; escalate complex issues to the Service Manager.
Preventive Maintenance
- Own the PM schedule for all service agreement customers; book visits on time per the contract frequency.
- Generate PM work orders, assign them to the right technician, and confirm they're closed out on time.
- Track upcoming PM visits and flag any that are at risk of slipping so we stay ahead of contract obligations.
- Confirm PM tickets come back complete with readings, photos, and notes before closing.
Ticket Closeout
- Open and close work orders in our dispatch software; ensure tickets are accurate and ready to invoice.
- Review field notes for completeness; chase missing time, materials, or photos before closing.
- Provide light support to the bookkeeper on invoicing questions when needed.
WHAT YOU BRING
Required
- 2+ years of dispatch, service scheduling, or customer service in a trades or field service environment.
- Cool head under pressure. You can hold three phone lines, two text threads, and a tech on the radio without losing the plot.
- Excellent verbal and written communication; comfortable being the voice of the company on the phone.
- Experience with a dispatch or field service software platform. Fieldpoint preferred, but we're willing to train the right person.
- Strong computer skills (Excel, Outlook).
- Strong organizational skills and attention to detail. You double-check addresses, model numbers, and PO numbers before they leave your desk.
- Legally entitled to work in Canada.
Considered an Asset
- Working knowledge of HVAC, refrigeration, or plumbing equipment (rooftop units, splits, heat pumps, walk-in coolers, boilers, DHW systems).
- Familiarity with Technical Safety BC permitting, gas permits, and refrigerant tracking requirements.
- Experience managing PM schedules and recurring service agreements.
- Background working with commercial property managers, restaurants, or institutional clients.
- Trade background or technical training (even partial apprenticeship) is a strong asset.

Pay: $55,000.00-$65,000.00 per year
