Position Overview:
We are seeking a reliable and professional receptionist to manage our front desk and perform a variety of administrative and clerical tasks at our prestigious law firm. The ideal candidate will be the first point of contact for clients and visitors, ensuring they receive a warm welcome and exemplary service. This role requires impeccable organizational skills, a courteous demeanor, and the ability to handle sensitive information with confidentiality.
Responsibilities:
- Front Desk Management:
- Greet clients and visitors with a positive, helpful attitude.
- Answer, screen, and direct phone calls promptly and professionally.
- Maintain a tidy and presentable reception area.
- Client Service:
- Schedule appointments and manage lawyer calendars.
- Provide information and assist clients with general inquiries.
- Ensure client satisfaction through effective communication and follow-up.
- Administrative Support:
- Assist with the preparation and distribution of legal documents.
- Handle incoming and outgoing mail and packages.
- Manage office supplies and equipment, including ordering as needed.
- Data Entry and Record-Keeping:
- Maintain electronic and paper filing systems accurately.
- Enter client and case information into the firm’s database.
- Ensure confidentiality of sensitive information and legal documents.
- Coordination:
- Coordinate meetings and conference room bookings.
- Liaise with lawyers and staff to facilitate smooth office operations.
- Assist with special projects and tasks as assigned.
Qualifications:
- Proven experience as a receptionist or in a similar role, preferably in a legal setting.
- Familiarity with office equipment and software (e.g., printers, copiers, MS Office).
- Excellent communication skills (written and verbal).
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- High school diploma; additional qualifications in Office Administration or Paralegal Studies are a plus.
Working Conditions:
