Hours: 40 hours/week, Monday – Friday, 9:00 am – 5:00 pm

Experience/Qualifications:
- High school diploma, additional certification in Business Management is a plus.
- 1-3 years of proven experience in an administrative role, preferably in a medical, dental, or healthcare office environment.
- Experience with scheduling software or Electronic Health Records (HER) systems.
- Proficiency in Microsoft Office (Word, Excel), Gmail
- Experience managing multi-line phone systems and office equipment
- Exceptional customer service and communication skills (verbal and written)
- Strong organizational and multitasking abilities in a fast-paced environment.
- High level of attention to detail for record keeping and scheduling
- Empathetic and profession demeanour, especially when interacting with patients.
- Professional attitude and appearance
- Resourceful and proactive in addressing issues
- Multitasking and time-management skills, with the ability to prioritize tasks
Role Overview:
As a Health Care Coordinator, you'll play a critical role in delivering patient success. You'll be the engine that powers the business, guiding patients to appointments, supporting hearing healthcare specialists, and ensuring each patient feels valued and cared for from the moment they walk through our doors.
Duties:
- Greet and welcome patients and guests warmly, ensuring each person feels valued and cared for from the moment they walk through the doors.
- Direct patients and visitors to the appropriate hearing healthcare specialist and office.
- Manage incoming and outgoing communications, including answering and forwarding phone calls and providing accurate information in person and via phone/email.
- Manage and optimize appointment schedules for hearing healthcare specialist, handling cancellations and rescheduling to maximize clinic efficiency.
- Perform general clerical duties such as filing, scanning, and data entry.
- Receive, sort, and distribute daily mail/deliveries and manage courier services.
- Assist with customer invoicing and records, ensuring accurate billing information and secure documentation.
- Handle inventory and anticipate supply needs for both the office and clinical supplies, placing orders as necessary to prevent shortages.
- Demonstrate extreme care when handling hearing aids and other delicate clinical equipment during check-in or preparation for specialists.
- Maintain the cleanliness and organization of the reception and waiting areas.
