Position Overview
The Inbound Logistics Specialist is responsible for managing and coordinating all international inbound shipments of raw nuts, seeds, oils, and packaging materials required for the production of almond butter, peanut butter, nut & seed butter, and packaged nuts and seeds. This role ensures that imported materials arrive on time, meet all regulatory and food safety requirements, and are efficiently received into the company’s two manufacturing facilities, each with an attached warehouse and shipping/receiving department.
The specialist acts as the central liaison between global suppliers, freight forwarders, customs brokers, internal procurement, quality assurance, and warehouse teams to maintain uninterrupted production and full compliance with Canadian import regulations.
Key Responsibilities
International Import Coordination
- Manage end‑to‑end import logistics for raw nuts, seeds, oils, and packaging sourced from global suppliers.
- Arrange international freight (ocean, air, LCL/FCL) and coordinate with freight forwarders, carriers, and customs brokers.
- Track shipments from origin to destination, proactively resolving delays, port issues, or documentation discrepancies.
- Ensure all import documentation is accurate and complete, including commercial invoices, packing lists, BOLs, phytosanitary certificates, COAs, and certificates of origin.
Customs Compliance & Regulatory Requirements
- Ensure all imported food products comply with CFIA, CBSA, FDA (when applicable), and other international regulatory standards.
- Submit or coordinate import declarations, HS codes, tariff classifications, and required permits.
- Maintain up‑to‑date knowledge of import regulations for peanuts, tree nuts, seeds, and organic products.
- Work with customs brokers to resolve holds, inspections, or compliance issues.
Inbound Receiving & Warehouse Coordination
- Communicate inbound shipment schedules to warehouse teams at both facilities.
- Ensure receiving teams are prepared for container arrivals, unloading, and inspection.
- Verify that received materials match purchase orders and meet quality and food safety specifications.
- Support proper storage, allergen segregation, and traceability for imported materials.
Inventory & Documentation Management
- Maintain accurate inbound shipment records in the ERP or WMS system.
- Reconcile discrepancies between expected and received quantities.
- Track inventory levels of imported materials and notify procurement of potential shortages.
- Organize and archive all import documentation for audits and traceability.
Supplier & Internal Collaboration
- Communicate regularly with international suppliers regarding shipment readiness, delays, and documentation.
- Partner with Quality Assurance to ensure imported materials meet COA, allergen, and food safety requirements.
- Support Procurement by providing logistics insights, landed cost updates, and supplier performance feedback.
- Coordinate inter‑facility transfers of imported materials as needed.
Continuous Improvement
- Identify opportunities to reduce freight costs, shorten lead times, and improve import efficiency.
- Support the development and refinement of SOPs for import logistics, receiving, and documentation control.
- Participate in cross‑functional projects related to supply chain optimization and vendor management.
Qualifications
Education & Experience
- Diploma or degree in Supply Chain, Logistics, International Trade, or related field.
- 2–4 years of experience in import logistics, preferably in food manufacturing or CPG.
- Experience working with customs brokers, freight forwarders, and international suppliers.
Skills & Competencies
- Strong understanding of international shipping, Incoterms, customs processes, and import documentation.
- Knowledge of CFIA, CBSA, and food import regulations (asset).
- Excellent communication and vendor‑management skills.
- High attention to detail and accuracy in documentation.
- Ability to manage multiple shipments and priorities in a fast‑paced environment.
- Proficiency with ERP/WMS systems and Microsoft Office.
Working Conditions
- Based at one of the manufacturing facilities with regular coordination across both locations.
- Requires occasional physical presence in the warehouse to verify inbound shipments.
- Exposure to allergen‑handling environments (peanuts, tree nuts, seeds).
- Fast‑paced environment with frequent coordination across time zones.
Pay: From $55,000.00 per year
