NATURE OF WORK
Under the responsibility of the Director of Sabtuan Adult Education Services (SAES) and the direct supervision of the Coordinator of Adult Education – Administrative Services, the Administrative Officer performs management duties pertaining to technical and administrative activities for the various programs operated throughout the communities by SAES.
The Administrative Officer provides support to the Coordinator of Adult Education - Administrative Services with all administrative activities relating to student declarations, regulations, certification, and reporting. In addition, the incumbent oversees project management activities surrounding various strategic projects.
The Administrative Officer leads by example, fosters a spirit of teamwork, engages employees and facilitates a workplace culture in keeping with the CSB organizational values.
CHARACTERISTIC FUNCTIONS
Working closely with, and supporting the Coordinator of Adult Education – Administrative Services, the Administrative Officer is generally expected to:
Contribute to the consultative process for developing the objectives and strategies of the school board dealing with her/his administrative unit and, where applicable, collaborate with other staff members.
Participate in developing and updating the administrative policies, systems, standards, and procedures related to her/his sector of activity and ensure they are applied.
Participate in the development and implementation of special projects within the unit, including the preparation and implementation of programs, the monitoring and reporting.
Implement and maintain efficient up-to-date systems, tools and procedures, including document and file management and administrative standards that respond to the needs of the department.
Provides advice and problem-solving in areas relating to staff, planning, and relationships within the department and other services and partners.
Provide training and orientation to partners and stakeholders, as well as coordinate the work of support staff in performing duties related to the implementation of programs involving technical operations for which he or she is responsible.
Uses various software needed to perform his duties including assisting staff members with the software/system tools specific to their work.
Collaborates on the needs analysis of various resources and in the development of standards and their application.
Prepares reports intended for the organizations concerned and ensures the distribution.
Carries out technical analyses of student declarations and reports.
Monitors and validates student declaration transactions and applies modifications when needed.
Supervises and oversee the day-to-day student declaration activities of the support staff of all Adult Education Centres.
Acquires and maintains expertise of relevant organizational processes and systems. Acts as a resource in assisting colleagues with regards to timing, requirements and procedures.
Provides pertinent information and responds to queries from internal and external stakeholders, as required.
Collects, analyzes and synthesizes data required for preparing the budgets and proposals; including the monitoring of activities and assists the persons concerned so they adhere to the rules prescribed.
Applies and adapts management techniques to the delivery of specific administrative activities and current operations.
Authorizes expenses relating to the Administrative Services unit for amounts within signing authority.
Carry out or supervise the execution of activities for which she/he is responsible.
If need be, performs any other related duties.
REQUIRED QUALIFICATIONS
A diploma of college studies in an appropriate specialty such as finance, accounting and/or administration.
3 years of relevant experience.
Proficient of Microsoft Office 365.
Must have knowledge and experience of the GRICS and Ministry systems
Fluency in English, French, and Cree is required.
Knowledge of Cree Culture and Indigenous contexts.
High level of autonomy, flexibility and strong communication and inter-cultural skills.
Detail oriented
Available to travel.
