Role Overview
As Operations Manager, you are responsible for leading all office operations, which includes but is not limited to, managing operations schedules, field operations, and administrative leadership across office activities. This role is the operational backbone of Wolf & Wolf service delivery — keeping crews deployed, customers informed, and company records accurate and up to date.
Key Responsibilities
Scheduling & Dispatch
- Build and manage daily and weekly schedules for service and maintenance crews
- Coordinate job timing based on weather, crew availability, materials and priority level
- Adjust schedules in real time to address delays, emergencies or changes
- Act as the central point of contact between crews, customers and management with the support of leadership and account management as required
- Track job status and confirm completion with required staff using software tools and tech stack
- Schedule and dispatch jobs during scheduled after hour shifts (additional compensation provided on per call basis and goal will be to implement outsourced support once process, systems and scope in place)
Administrative & Operations
- Prepare and manage work orders, job files, and service tickets for required jobs
- Lead coordination of inventory and on-site equipment needs and ensure items delivered on time
- Ensure accurate documentation for completed work by crews (photos, notes, sign-offs)
- Assist with reporting on job volume, turnaround times and crew utilization
- Maintain organized digital and physical records for projects and customers
- Provide in office support for ordering, accounting, HR and other executive needs
- Support accounting and HR factors related to jobs including receipts, labour hours per job, time sheets, and materials used
- Support executive team with ensuring accounting and HR has required copies of documentation (receipts, signed policies, etc)
- Ensure office is organized and files maintained
Customer Communication
- Communicate jobs schedules and notices with clients
- Provide professional, responsive customer service via phone and email
- Proactively notify customers of schedule changes or delays
- Support follow-ups and service coordination as needed
Process & Systems Support
- Lead transitions to new software tools and platforms
- Maintain scheduling and CRM systems (e.g. Jobber or FieldEdge) in collaboration with executive team
- Identify inefficiencies and recommend improvements to scheduling, office and team development workflows
- Support onboarding of new crews or admin processes (in office portion only) as the business grows

Pay: From $65,000.00 per year
