Part-Time Option
- $34,000 – $38,000 annually
- Monday to Friday, 10:00 AM – 4:00 PM
- Paid 30-minute lunch break
- Salary commensurate with experience
Full-Time Option
- $45,000 – $50,000 annually
- Monday to Friday, 9:00 AM – 5:00 PM
- Paid 1-hour lunch break
- Salary commensurate with experience

Position Summary
We are seeking a detail-oriented and client-focused Mutual Funds Administrator to support the day-to-day administration of client investment accounts. The successful candidate will play a key role in processing mutual fund transactions, maintaining client records, ensuring regulatory compliance, and delivering exceptional service to both clients and advisors.
Key Responsibilities
- Process new account applications, account updates, and investment transactions accurately and efficiently
- Execute mutual fund purchases, redemptions, switches, and systematic investment plans
- Establish and maintain Pre-Authorized Contribution (PAC) plans, Automatic Withdrawal Plans (AWD), and other account servicing requests
- Complete and monitor account transfer documentation, including T2033 transfer requests
- Upload and maintain client documentation within dealer systems, Head Office platforms, and CRM databases
- Monitor pending transactions and follow up with fund companies, Head Office, and clients to ensure timely completion
- Process client service requests, including address changes, beneficiary updates, withdrawals, and banking changes
- Maintain accurate and organized client files in accordance with compliance and regulatory requirements
- Coordinate client review meetings and assist with appointment scheduling and confirmations
- Prepare and gather information required for client reviews, financial projections, and reporting
- Assist advisors with administrative support related to investment and financial planning activities
- Provide professional, responsive, and confidential service to clients and internal stakeholders
- Ensure all documentation and transactions meet compliance and industry standards
Qualifications & Skills
- Minimum 3–5 years of experience in the financial services or mutual fund industry
- Strong understanding of mutual fund administration and investment account processing
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
- Experience with Univeris, Maximizer CRM, or similar industry platforms is considered a strong asset
- Mutual Fund License (IFIC or CSC) is considered an asset
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Exceptional attention to detail and accuracy
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
- Professional, client-focused approach with strong problem-solving skills
- Ability to work independently and collaboratively within a team environment
