About the Role
It's an exciting time to join the Score Group team, we are seeking a proactive Site Services Administrator. Reporting to the Sites Manager, the incumbent plays a crucial role in ensuring the efficient and compliant operation of our Administration activities towards all related work for Score (Canada) Ltd. and the Americas Business Unit.

Responsibilities
- Support the Administration team members.
- Process weekly labour, equipment and materials (LEM) for contracted sites.
- Open projects to get a job number. Create an electronic file.
- Maintain internal filing system with accuracy.
- Raise Purchase Order (PO) for site.
- Process non-contracted site work.
- Submit a Detailed Fee Report (DFR) to the client daily.
- Submit a Detailed Fee Report (DFR) to the client during turnaround.
- Submit training request forms.
- Act as the Facilities & Administration (FA) for all sites (except Christina Lake).
- Maintain vehicles & equipment.
- Vehicle rental for hire and off hire.
- Create vehicle HSE packs for rentals vehicles.
- Complete vehicle access passes and site access passes.
- Arrange for rental vehicle to have company stickers installed.
- Arrange hotel accommodations for employees.
- Invoice turnaround timesheets.
- Keep D365 up to date with quoted values & scheduled delivery dates.
- Review order confirmations against purchase orders.
- Update and track: Track, Fieldglass, Maximo, OpenInvoice, Smart GEP, and any other client systems.
- Update the “Monthly Revenue” spreadsheet for accounts receivable.
- Update the weekly Focal Point meeting minutes.
- Any other reasonable duties required to meet the requirements of the business
Experience
- Diploma in Office Administration or related discipline.
- Proven experience in a similar role, preferably within a project-based or industrial setting or additional qualifications in a relevant field is a plus.
- Significant experience working within the program Track

- Working knowledge of business processes and functions (i.e., client service satisfaction, operations, procurement, purchase ordering systems, etc.).

- Ability to be flexible and agile, comfortable working in occasional ambiguity
Working Conditions
- Work in indoor office environment 95% of the time.
- Site environment 5% of the time.
- Some travel may be required.
