Job Description
Chinook Valley Inc. is seeking a highly professional and discreet Executive Personal Assistant to support a Principal in managing personal, lifestyle, and selected business affairs.
This role is primarily personal in nature and requires a proactive, hands-on approach to coordinating day-to-day activities, priorities, and commitments. The successful candidate will play a central role in ensuring seamless organization across the Principal’s personal and professional environments.
This position requires strong judgment, exceptional organizational skills, and a high level of confidentiality. The ability to anticipate needs, manage competing priorities, and operate independently—particularly when the Principal is off-site—is essential.
Key Responsibilities
- Manage complex personal and business calendars, appointments, and scheduling priorities
- Handle correspondence, including drafting responses and managing sensitive communications
- Coordinate travel arrangements, including itineraries, logistics, and supporting research
- Support expense tracking and basic financial administration
- Maintain organized personal and administrative records (digital and physical)
- Liaise with internal teams, external partners, and service providers
- Coordinate personal errands, sourcing, and procurement of goods and services
- Assist with planning and execution of events, travel, and key personal engagements
- Support tracking of personal commitments, renewals, and key dates
- Provide general administrative and coordination support as required
Qualifications & Experience
- 3–7+ years’ experience in a Personal Assistant or Executive Assistant role
- Experience supporting a private individual or in a highly personalized environment is preferred
- Strong organizational and time management skills with high attention to detail
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and sound judgment
- Proficiency in Microsoft 365 and modern communication tools
- Valid driver’s license and ability to run occasional off-site errands
- Ability to work independently and manage multiple priorities
Work Environment
- Based in downtown Calgary (office-based position)
- Standard hours are approximately 8:00 AM – 5:00 PM
- Some flexibility required outside of regular business hours to support time-sensitive needs
- Parking provided
