Regular Work Hours: From 8:30 a.m. to 5:00 p.m. including 1 hour unpaid lunch break (7.5 work hours per day), Monday to Friday (37.5 work hours per week).
Work Location: Hybrid - combination of 3 days remote-based and 2 days onsite at client's downtown Toronto corporate head office on PATH and near TTC, Union and GO Stations.
Responsibilities Summary:
Provide accurate and timely delivery of semi-monthly, primarily salaried payroll for employees across Canada, including legislated deductions, payroll-related payments, payroll accounting, reconciliations, and analytical reporting. Provide guidance and advisory support to employees and managers on payroll, benefits, and leave management matters.
- As one of two senior payroll advisors, will execute full cycle, semi-monthly payroll processing for a portfolio of approximately 750 multi-provincial Canadian employees, ensuring accurate calculation and processing of all payroll deductions, including statutory deductions, garnishments, family support, benefits, and retirement programs.
- Prepare and issue Records of Employment, and T2200 forms.
- Monitor and manage shared payroll mailbox, providing timely responses to inquiries and resolving payroll issues in accordance with service standards. Act as subject matter expert to resolve complex payroll inquiries and discrepancies.
- Perform full cycle benefits administration, including RRSP-DPSP/TFSA programs and enrollment, partnering with third party vendors, and handling benefits continuance matters for employees on leave. Manage benefits billing, reconciliation, and variance analysis.
- Perform internal payroll and timesheet audits to ensure ongoing accuracy, compliance, and adherence to legislative and organizational requirements. Prepare and deliver accurate monthly payroll reports to support financial and management reporting.
- Conduct regular payroll system audits, including master data reviews and workflow approvals, to ensure data integrity and compliance with internal controls.
- Support year end payroll activities, including reconciliations, T4 preparation and distribution. Prepare payroll journal entries, general ledger reconciliations, government remittances, and quarterly and annual filings.
- Identify, recommend, and implement continuous improvement initiatives to enhance payroll efficiency, controls, and employee experience.
- Additional payroll execution and advisory responsibilities as required.
Qualifications:
Education: Post-secondary Diploma or Degree in Payroll, Accounting, or Human Resources.
Professional Credentials: Payroll Compliance Practitioner (PCP) designation completed or in view.
Preferred Work Experience: At least 5 years of hands-on, full cycle experience processing an in-house payroll for a mid-sized organization.
Technical and Language Skills Requirements:
- Demonstrated proficiency with UKG (Ultimate Kronos Group) payroll and workforce management systems.
- Demonstrated advanced proficiency in Microsoft Excel (VLOOKUP, pivot tables) (will be tested).
- Advanced Level English written and reading comprehension skills (including advanced level business writing skills. Advanced Level English conversational skills and verbal presentation skills suitable for a diverse range of audiences including senior leadership.
Task -Based Qualifications and Additional Attributes:
- Demonstrated hands-on, full cycle, in-house payroll accounting and processing experience.
- Familiarity with payroll distinctions from different Canadian provinces, including Quebec.
- Demonstrated experience and understanding of RRSP-DPSP/TFSA and Health/Dental benefit program administration.
- Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines.
- Carries out duties with integrity and accountability. Self-motivated, with the ability to take initiative, be proactive and resourceful.
- High level of professional confidence, with ability to communicate effectively and build credibility with stakeholders at all levels.

- Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external professional contacts.
