Overview
We are seeking a detail-oriented, organized A/P Clerk with a sharp eye for detail and discrepancies to join our finance team. The ideal candidate will play a key role in managing accounts payable processes, ensuring accuracy and compliance with financial regulations. This position requires a solid understanding of accounting principles, strong analytical skills, and proficiency with accounting software.
Responsibilities
- Process invoices and match them against purchase orders and supporting documentation
- Prepare and process vendor payments via check or EFT based on agreed terms
- Follow up with vendors on invoices, payments, discrepancies, or disputes, maintaining positive working relationships
- Perform account reconciliations to ensure accuracy of financial records
- Prepare journal entries and maintain the general ledger
- Utilize financial software such as QuickBooks for data entry and reporting
- Support the preparation of financial reports and analysis for management review
- Ensure compliance with company policies, financial regulations, and tax requirements (e.g., 1099 reporting)
- Maintain accurate transaction records and assist with audits as required
- Collaborate with other departments to resolve discrepancies and improve processes
Requirements
- Proven experience in accounting or bookkeeping, with a strong understanding of double-entry bookkeeping
- Ability to exercise professional discretion
- Experience with QuickBooks
- Knowledge of financial concepts including debits & credits, account reconciliation, and journal entries
- Experience with HRIS systems such as Kronos or UltiPro is a plus
- Strong analytical skills with attention to detail and accuracy in data entry
- Ability to work independently and as part of a team in a fast-paced environment
- Excellent communication skills for interacting effectively with vendors and internal stakeholders
- Previous experience in public accounting or non-profit accounting is an asset
- Proficiency in Microsoft Office Suite (Excel, Word) required
