Our firm's practice areas in immigration law are diverse, including but not limited to investor immigration, refugee and asylum protection, and almost all kinds of immigration appeals. We are looking for a qualified person to fill in the position of Administrative Assistant / Receptionist and join our team in downtown Vancouver. This is a full-time and permanent position, while a qualified candidate for an internship application may be considered acceptable as well.

Main Duties:
- Working as a receptionist with backup duties as required, such as during mid-day breaks, longer absences, or other times where coverage or an extra hand is needed.
- Greeting and supporting clients/other visitors in our office
- Answering our main phone line and directing inquiries/translating relevant info to the team
- Processing daily mail, couriers, and deliveries
- Keeping our office and boardrooms clean, comfortable and welcoming
- Booking boardrooms, meeting coordination (incl. catering and equipment) and related setup
- Replenishing supplies around the office (meeting rooms, print areas, kitchen, etc.)
- Maintaining the firm’s internal telephone directory
- Various collaboration with the Operations Team to improve reception/office functions
- Holding the team accountable to following reception procedures
- Proactively thinking about how to improve the client and colleague experience
- Drafting legal documents from precedent and client correspondence
- Document formatting and assembly, with some scanning/photocopying
- Assisting with the client intake process
- Day-to-day coordination like scheduling, ordering couriers and arranging client gifts
- Assisting the immigration counsels/consultants in preparing legal documentation and case files;
- communications with the clients, vendors and authorities; and
- Perform other general and administrative duties as required
Qualifications:
- Bachelor's degree is preferred;
- Previous work experience as a legal assistant, or paralegal, in immigration or other legal fields, is an asset;
- Outstanding proficiency in English, particularly for excellent legal writing skills is preferred;
- Proficiency in Chinese (either Mandarin or Cantonese) is a significant asset;
- Capacities in MS Word, Excel, and Outlook Calendar or Google systems are required.

Pay: $18.00-$25.00 per hour
