Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency with various office software. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office workflows to enhance overall productivity.
Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Schedule appointments, coordinate meetings, and organize files through effective filing systems
- Assist with billing, bookkeeping, and basic financial tasks related to office operations
- Provide customer support via phone and email, demonstrating professional phone etiquette and customer service skills
- Proofread documents for accuracy and clarity before distribution
- Support medical or dental office functions if applicable, including patient check-in/out and appointment scheduling
- Handle administrative tasks such as copying, scanning, and organizing documents to ensure efficient workflow
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or other bookkeeping software
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent typing speed and accuracy for data entry and document proofreading
- Exceptional customer service skills with professional phone etiquette
- Clerical experience in an office setting, preferably in medical or dental offices
- Familiarity with front desk operations and multi-line phone systems
- Basic computer skills including familiarity with data management and filing systems
- Ability to handle sensitive information discreetly while maintaining confidentiality
- Strong attention to detail and organizational skills to manage multiple priorities efficiently
Pay: $22.00-$26.00 per hour
