Job Overview
We are seeking an ambitious and skilled Office Administrator to join our talented team. The ideal candidate will be a highly-organized and detail-oriented individual. This role involves managing various clerical tasks, coordinating with other administration team members to drive productivity and ensure effective communication. Preferred candidates will have strong computer skills with an emphasis on Microsoft Office Suite, self-direction and the ability to handle multiple responsibilities efficiently in a fast-paced environment.
Duties
- Manage front desk responsibilities, including greeting visitors and answering phones.
- Electronic and paper filing of contracts and other project documentation.
- Arrange flights and accommodations for employee travel.
- Coordinate various educational and social events throughout the year including Lunch & Learns, the annual golf tournament and holiday party.
- Chair office committees and take meeting minutes.
- Maintain the staff vacation schedule and daily attendance board.
- Supervise and coach the Office Assistant.
- Manage office maintenance issues and general staff requests.
- Maintain an inventory of office supplies and re-stock as necessary.
- Chair office committees and take minutes at meetings.
- Process incoming invoices and expense reports for approval and payment.
- Issue monthly AR statements and identify issues for further action by Project Managers.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook.)
- Excellent verbal and written communication skills.
- Courteous and professional telephone etiquette.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Attention to detail for accuracy in data entry and maintaining records.
- Familiarity with front desk operations, filing systems, and administrative procedures.
- Ability to work with little supervision, take initiative and problem solve various issues.
- Clerical experience and knowledge of basic bookkeeping practices is preferred.
- Completion of an administrative certificate program is considered an asset.
Pay: $17.95-$25.00 per hour
