We are seeking a detail-oriented Payroll Specialist to join a growing team and oversee payroll operations for approximately 300 employees. This role is ideal for an experienced payroll professional with hands-on expertise in ADP Workforce Now who thrives in a fast-paced environment and takes pride in ensuring payroll accuracy, compliance, and exceptional employee service.Working closely with Human Resources and Finance, the Payroll Specialist will be responsible for end-to-end payroll processing, benefits administration, time and attendance management, and payroll-related reporting.
Key Responsibilities
Payroll Administration
Process bi-weekly payroll for approximately 300 hourly and salaried employees using ADP Workforce Now.
Review and validate payroll data, including hours worked, earnings, deductions, and adjustments.
Maintain payroll records and ensure compliance with federal and provincial payroll legislation.
Process employee lifecycle changes, including new hires, terminations, transfers, and status updates.
Generate payroll reports and support management reporting requirements.
Administer employee onboarding activities within ADP Workforce Now.
Time & Attendance
Maintain and support the ADP Workforce Now Time & Attendance system.
Review employee timecards and investigate discrepancies.
Collaborate with managers and supervisors to resolve time-entry and approval issues.
Ensure accurate timekeeping data is reflected in payroll processing.
Benefits Administration
Process and reconcile employee benefit deductions and employer contributions.
Ensure accurate and timely remittances to benefit providers.
Support benefit-related payroll reporting and reconciliations.
Respond to employee inquiries regarding payroll deductions and benefits.
Compliance & Reporting
Prepare and submit Records of Employment (ROEs) through Service Canada.
Assist with WSIB payroll reporting requirements.
Support year-end payroll activities, including T4 preparation and reporting.
Maintain accurate payroll documentation and support internal or external audits.
Qualifications
Required
Minimum 3 years of payroll administration experience.
Hands-on experience processing payroll using ADP Workforce Now.
Experience supporting hourly and salaried employee payroll.
Strong understanding of Ontario payroll legislation, statutory deductions, and compliance requirements.
Proficiency with Microsoft Excel and Microsoft Office Suite.
Exceptional attention to detail and ability to maintain confidentiality.
Strong organizational, analytical, and problem-solving skills.
Preferred
Experience with ADP Workforce Now Time & Attendance.
PCP (Payroll Compliance Practitioner) designation or currently pursuing certification.
Experience supporting payroll within a multi-site or multi-division organization.
This is a hybrid role with an expectation of 2 days a week in office onsite at their Oakville office.
