MacQueen Systems is a Fraser Valley general contractor operating across four divisions: residential renovations, new builds, earthworks, and select commercial. We run a high volume of concurrent projects and we are built on systems. We are looking for a Junior Project Coordinator to own the back-end coordination of our smaller project portfolio and help us build the processes that keep this company running well at scale.
About the Role
This is a coordination role with real ownership. You will be responsible for keeping a portfolio of smaller jobs on track from start to closeout, working alongside site superintendents, subcontractors, and project managers to make sure the right things are happening at the right time.
The work is fast-paced and detail-driven. On any given day you might be tracking a subcontractor schedule, following up on a material delivery, updating a client on their project status, or documenting a change order before it gets lost. The jobs in your portfolio are smaller in scope, typically renovations, decks, and additions, but they move quickly and they run in parallel. Staying organized across all of them is the job.
We are a process-improvement culture. You will not just follow the systems we have built. You will be expected to identify gaps, flag inefficiencies, and help define better ways of working. If you see something that could run cleaner, we want to hear it and we will act on it.
What You Will Be Doing:
- Coordinating the day-to-day progress of smaller jobs: scheduling site supers, subcontractors, and material deliveries to keep jobs on sequence
- Serving as the primary point of contact between the office and field on assigned jobs, keeping project managers informed of status, blockers, and schedule risk
- Tracking job budgets, committed costs, and purchase orders against the estimate on each active job
- Maintaining Buildertrend across your portfolio: schedule, daily logs, subcontractor assignments, change orders, and documentation current at all times
- Supporting client communication on active jobs: progress updates, outstanding decisions, and change order coordination
- Tracking open RFIs, outstanding selections, and pending approvals so jobs do not stall waiting on information
- Identifying gaps in how we run smaller jobs and working with the project management team to define and document better processes
- Supporting project closeout: deficiency tracking, final documentation, and warranty handoff
What We Are Looking For:
- Strong organizational and administrative skills. You can manage multiple jobs simultaneously and know where each one stands at any given moment.
- Comfortable with numbers. You can read a job budget, track costs against an estimate, and flag a variance before it becomes a problem.
- Detail-oriented and process-minded. You notice when something is missing and you think about how to prevent it from happening again.
- Proficient with computers: spreadsheets, email, project management software, and mobile apps. Buildertrend experience is an asset but not required.
- Familiar with how construction job sites operate. You do not need to be a tradesperson, but you need to understand scheduling logic, subcontractor sequencing, and site communication.
- Clear communicator in writing and in person. You can hold a direct conversation with a site super or a homeowner and adjust your approach accordingly.
- Professional presentation. You will occasionally be client-facing and on active job sites.
- Reliable personal vehicle. Work spans the Fraser Valley with the majority currently in Chilliwack.
- Fraser Valley local or willing to commute to Chilliwack daily.
What Success Looks Like:
After six months, your assigned jobs are consistently on schedule, budget variances are caught early, and the project managers supporting you are spending less time chasing status updates. You have documented at least one process improvement that we have adopted across the division. You know your jobs cold without needing to be asked.
Growth Path:
Coordinators who demonstrate strong judgment, financial literacy, and systems thinking are developed into full project managers with their own portfolios. We build our PM team from within and we invest in people who take the work seriously.

Pay: $60,000.00-$70,000.00 per year
