Duties
- Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
- Handle data entry tasks accurately using tools such as QuickBooks, Microsoft Office, and Google Workspace to maintain organized records.
- Oversee filing systems—both physical and digital—to ensure quick retrieval of documents and compliance with organizational standards.
- Support bookkeeping activities by reconciling accounts, processing invoices, and maintaining financial records with attention to detail.
- Assist with scheduling appointments, coordinating meetings, and managing calendars for staff members.
- Perform clerical duties such as proofreading correspondence, preparing reports, and maintaining office supplies inventory.
- Provide customer support by addressing inquiries professionally and efficiently while demonstrating excellent phone etiquette.
Qualifications
- Proven clerical or administrative experience in an office environment, preferably within a medical or dental setting.
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks.
- Experience with data entry, filing systems, and multi-line phone systems is essential.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Demonstrated customer service skills with a friendly and professional demeanor.
- Knowledge of medical or dental office procedures is a plus; familiarity with front desk operations is highly desirable.
- Typing speed of at least 50 words per minute along with proofreading abilities to ensure accuracy in all communications.
- Ability to handle confidential information discreetly while maintaining high standards of professionalism.
