Magna IV Engineering is seeking an experienced and detail-oriented Proposal Specialist to join our team in Edmonton, Alberta. This is a full-time, in-office position responsible for leading and coordinating the development of high-quality proposals, quotations, and client-facing documentation that support business growth across our Engineering, Automation, Technical Field Services, and Power Systems divisions.
The Proposal Specialist will work closely with business development leaders, operations teams, project managers, engineers, and executive leadership to develop compelling, compliant, and professional proposal submissions. This role requires exceptional attention to detail, strong project coordination skills, and the ability to manage multiple deadlines simultaneously while ensuring a high level of accuracy and professionalism.
In addition to proposal development, this position will have direct interaction with clients and prospective customers, supporting pursuit strategies, proposal reviews, and business development initiatives.
Proposal Development & Management

Lead the preparation, coordination, and submission of proposals, RFQs, RFPs, tenders, quotations, and other client requests.

Review solicitation documents to identify submission requirements, compliance criteria, and critical deadlines.

Coordinate proposal schedules and gather technical content from engineering, operations, and business development teams.

Ensure proposals are completed accurately, professionally, and submitted on time.
Technical Writing & Content Development

Develop, edit, and format technical and commercial proposal content.

Translate complex technical information into clear, client-focused narratives.

Maintain and continuously improve proposal templates, resumes, project profiles, and content libraries.

Ensure consistency with Magna IV branding, messaging, and quality standards.
Client & Business Development Support

Participate in client-facing interactions related to proposal development and project pursuits.

Support business development initiatives through preparation of presentations, capability statements, and marketing materials.

Assist leadership with strategic account planning and pursuit opportunities.

Collaborate with internal stakeholders to identify competitive differentiators and value propositions.
Reporting & Data Management

Maintain proposal tracking metrics, win/loss data, and business development reporting.

Utilize Salesforce to manage opportunity information and proposal activities.

Develop and analyze proposal and sales performance reports using Power BI.

Support continuous improvement initiatives through data analysis and reporting insights.
Quality Assurance & Compliance

Conduct detailed reviews of proposal documents to ensure compliance with client requirements.

Verify pricing inputs, technical content, supporting documentation, and submission packages.

Maintain organized proposal documentation and records.

Ensure all deliverables meet Magna IV's standards for quality and professionalism.

5–10 years of experience in proposal management, proposal coordination, technical writing, business development support, marketing, or a related field.

Bachelor's degree in Engineering Technology, Technical Writing, or a related discipline; equivalent experience preferred

Demonstrated experience supporting proposals within engineering, industrial services, technical services, utilities, construction, consulting, or related industries.

Strong client-facing communication and relationship-building skills.

Exceptional organizational skills with the ability to manage multiple projects and deadlines.

Proven ability to work independently while collaborating effectively across departments.

Attention to detail and commitment to producing high-quality work.

Advanced proficiency with Microsoft Office Suite

Experience utilizing Salesforce for opportunity tracking, reporting, and proposal management.

Experience creating reports, dashboards, and business insights using Power BI.

Experience with document management systems and proposal content libraries preferred.

Knowledge of electrical engineering, automation, power systems, technical field services, or industrial operations.

Graphic design, marketing, or content creation experience is an asset.
