The successful candidate will preferably have a minimum of 2-3 years related experience in a clinical and/or surgical office setting, Grade XII education (MB Standards) and successful completion of a Medical Assistant/Clinical Office Assistant Program and/or a recognized Medical Secretarial/Administrative Training Program with equivalent related experience.

- Well-developed interpersonal skills when communicating with patients, physicians’ offices, and staff over the phone, in writing or in person

- Demonstrated ability to plan, organize, problem solve, and time management skills are required
- Demonstrated ability to complete assigned projects and additional tasks when assigned
- Basic knowledge of surgical billing processes, medical terminology, and transcription
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) is required
- Word Processing speed of 50-60 w.p.m. with a high degree of accuracy is preferred
- Demonstrated ability to maintain confidentiality.
- Exemplary work record, including attendance and punctuality, is required.
- Ability to maintain a positive outlook when challenges arise
Under the general direction of the Managing Director and the Surgeon(s), the successful candidate will be responsible for the effective and efficient provision of clinical and administrative support activities.
Primary duties include:
- Prepare call schedules
- Triage telephone calls and reception duties
- Coordinates and ensures all schedule information is entered into D.O.C.S.S. and WebXchange.
- Types and distributes Call Schedules; receives and resolves complaints related to the Obstetrics and Gynecology Call schedule; Notifies Paging and Emergency Offices of changes to call schedule as they occur
- Coordinate physician’s calendar for on call shifts, coverage and/or changes, slates, Learners, requested meetings, all matters related to OB HMO.
- Coordinate, organize and schedule meetings in Microsoft Outlook
- Transcribe and distribute meeting minutes/agenda, is required.
- Type a variety of confidential material related to administrative, patient care, research and teaching activities; as well as processing digital/manual transcription.
- Curriculum Vitae (CV) maintenance for supported Physicians.
- Filing and processing mail.
- Miscellaneous administrative/clinical duties as assigned.
