Air Notions is a custom HVAC equipment manufacturer based in Dundas, Ontario, specializing in custom air handling units (AHUs) for commercial and industrial applications across Canada and the United States.
We are seeking an organized and proactive Purchasing & Inventory Specialist to take ownership of our purchasing and inventory processes.
This is a hands-on role responsible for reviewing approved production jobs, identifying purchasing requirements, ordering parts and materials, and ensuring everything arrives in time for production. The successful candidate will monitor pricing and lead times, communicate with suppliers, maintain accurate inventory information, and help prevent material shortages from affecting production schedules.
This position requires some technical familiarity with HVAC, electrical, and mechanical components. You do not need to be an engineer, but you must be comfortable reviewing parts lists, understanding basic component descriptions and specifications, and confirming that the correct items are being ordered.
The successful candidate will also play an important role in implementing and maintaining our Odoo ERP system for purchasing, inventory, and related workflows.
Responsibilities
Purchasing and production support
- Review the production job board regularly and identify newly approved jobs
- Review bills of materials, parts lists, drawings, and other job information to determine purchasing requirements
- Confirm required quantities, specifications, delivery dates, and approved substitutions before ordering
- Purchase HVAC, electrical, mechanical, sheet-metal, and general production components
- Prepare and issue accurate purchase orders
- Ensure all required parts and materials arrive before they are needed in production
- Monitor open purchase orders, supplier confirmations, lead times, and expected delivery dates
- Follow up with suppliers and expedite orders when required
- Identify potential shortages or delays early and communicate them to production and ownership
- Coordinate alternative parts or suppliers when requested items are unavailable
- Verify that ordered parts match the requirements of each production job
- Help resolve incorrect shipments, damaged goods, shortages, and supplier discrepancies
- Maintain organized purchasing records and supporting documentation
Pricing and supplier management
- Request and compare supplier quotations when appropriate
- Evaluate pricing, availability, lead time, quality, freight costs, and payment terms before ordering
- Avoid automatically purchasing from the same supplier without considering overall value
- Identify opportunities to reduce costs and improve purchasing efficiency
- Build and maintain professional relationships with suppliers
- Maintain current supplier, pricing, lead-time, and product information
- Assist with supplier negotiations and volume-purchasing opportunities
- Monitor supplier performance, including pricing, quality, reliability, and delivery
Inventory management
- Maintain accurate inventory records for parts, materials, and production supplies
- Monitor inventory levels and reorder commonly used items before shortages occur
- Establish and maintain appropriate minimum and maximum stocking levels
- Organize part numbers, item descriptions, units of measure, and storage locations
- Coordinate the receipt and proper recording of incoming materials
- Help ensure received items are assigned to the correct job or inventory location
- Conduct regular inventory counts and investigate discrepancies
- Identify slow-moving, excess, obsolete, or duplicate inventory
- Work with production employees to improve how materials are stored, issued, and tracked
- Maintain a clean, organized, and reliable inventory system
ERP implementation and maintenance
- Assist with the setup and implementation of Odoo for purchasing and inventory management
- Help develop practical purchasing, receiving, and inventory workflows within Odoo
- Create and maintain accurate item, supplier, pricing, and inventory data
- Help establish part-number and product-description standards
- Enter and maintain purchase orders, receipts, inventory movements, and related records
- Participate in data cleanup and migration from existing records
- Test system processes and identify required improvements
- Help document purchasing and inventory procedures
- Support employees in adopting consistent ERP processes
- Maintain the accuracy of the system after implementation
Qualifications
- At least three years of experience in purchasing, procurement, inventory control, production coordination, or a related manufacturing role
- Experience purchasing parts and materials in a manufacturing environment
- Basic knowledge of HVAC, electrical, and mechanical components
- Ability to read and understand bills of materials, parts lists, product specifications, and basic technical information
- Strong understanding of purchase orders, supplier quotations, lead times, and inventory controls
- Ability to compare suppliers and make sound purchasing decisions based on total value
- Experience using an ERP, inventory, purchasing, or material requirements planning system
- Strong computer skills, including Microsoft Excel and email
- Excellent organization, accuracy, and attention to detail
- Strong communication and supplier follow-up skills
- Ability to manage multiple production jobs, orders, and deadlines simultaneously
- Ability to recognize urgent requirements and prioritize accordingly
- Ability to work independently and take ownership of purchasing outcomes
Preferred qualifications
- Experience with Odoo or another manufacturing ERP system
- Experience helping implement or improve an ERP, purchasing, or inventory system
- Purchasing experience within the HVAC, electrical, mechanical, or custom-equipment industry
- Familiarity with components such as motors, fans, variable-frequency drives, sensors, actuators, dampers, filters, controls, electrical panels, breakers, contactors, relays, and wiring components
- Experience with inventory counts, stocking levels, receiving, and material allocation
- Diploma or certificate in supply chain, purchasing, business, engineering technology, or a related field

Pay: $50,000.00-$65,000.00 per year
