Role and Objectives:
The Office & People Administrator is the first point of contact at Head Office, creating a welcoming and professional experience for visitors, contractors, and employees. This role supports the coordination of site tours, meetings, and events, ensuring they run smoothly and safely.
The role also provides administrative support to Head Office and the People & Culture team, helping with day-to-day operations and employee engagement activities. Working closely with the People & Culture Coordinator, this position helps maintain an organized, efficient, and positive workplace
Responsibilities:
Front Office & Visitor Experience:
- Serve as the first point of contact for Head Office, welcoming visitors, contractors, and employees in a professional and safety-conscious manner
- Manage visitor sign-in processes, including orientation to site safety requirements and coordination of personal protective equipment (PPE) where required
- Direct inquiries and ensure visitors are appropriately guided, supported, and connected with internal teams
Event Coordination:
- Coordinate and support site tours, ensuring alignment with operational schedules and adherence to safety protocols
- Assist in organizing meetings, internal events, and employee engagement activities, including logistics, room setup, and materials preparation
- Support company events by coordinating vendors, tracking attendance, and assisting with on-site execution
- Provides administrative support by arranging travel, securing accommodations, and coordinating
- logistics for conferences, meetings, and company events
Head Office Support:
- Provide day-to-day administrative support, including managing shared spaces, office supplies, and general workplace organization
- Maintain inventory of office and common-use supplies, ensuring availability and timely replenishment
- Support internal communication and coordination across departments to ensure smooth office operations
- Help maintain a clean, organized, and welcoming Head Office environment that reflects company values
People & Culture Support:
- Provide administrative support to the People & Culture team, including document preparation, data entry, and file management
- Assist with employee engagement initiatives and programs that contribute to a positive workplace culture, including developing and delivering monthly newsletter
- Support onboarding logistics for new hires, including coordination of materials, schedules, and welcome activities
Continuous Improvement:
- Identify opportunities to improve processes, coordination, and the overall employee and visitor experience
- Ensure all activities are carried out in alignment with company policies, procedures, and safety standards
Team Collaboration:
- Support a consistent, one team unified approach demonstrated through delivery of People & Culture practices
- Participate in cross functional projects and contribute to continuous improvement efforts
- Provide support to and collaborate with the People & Culture and office teams
Requirements:
Education:
- Diploma in Human Resources, Business Administration, or a related field
Experience:
- 1 year of experience in an administrative role preferably in HR or Marketing
- 1 year of experience in customer service, reception, or service orientated role is preferred
Skills & Knowledge:
- Strong working knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Exceptional organization skills and attention to detail, with the ability to handle multiple priorities
- Strong written and verbal communication skills; able to convey information clearly to employees and external stakeholders
- Proven ability to manage multiple tasks efficiently and meet deadlines in a fast paced environment
- Experience assisting with planning and executing corporate events, training sessions, or engagement activities
Physical Requirements:
- Ability to occasionally travel between Kalesnikoff’s locations
- Ability to sit, stand, or move about the office and manufacturing environment for extended periods
Compensation Package:
- Salary: $48,000.00 - $60,000.00 (Dependent on experience)
- Schedule: Monday - Friday
