Reporting to the EVP Finance & Administration the Bookkeeper is an integral part of the ALCO Inc. team. This role is responsible for the accounting and administration of Seven O Ranches, a large agricultural enterprise, combined with fixed asset administration for a Holding company, the entity that owns ALCO's equipment fleet.
Responsibilities
Ranch Accounting & Administration – Seven O Ranches (approx. 40%)
· Perform full-cycle accounting for a large agricultural enterprise, including banking and bank reconciliations.
· Track herd inventory and maintain an inventory continuity schedule.
· Work with operations personnel to create and issue purchase orders for suppliers and services.
· Record only approved invoices in expenditures, ensuring accurate coding and appropriate supporting documentation.
· Initiate payments of approved accounts payable, in accordance with segregation of duties controls.
· Record sales of inventory and other revenue and update inventory records to reflect sales.
· Initiate payments of GST, property taxes and similar remittances.
· Enter month-end accruals and support month-end close activities.
· Assist with the administration of government programs such as AgriStability and water and grazing licenses.
Fixed Asset Administration – Holding Company (approx. 40%)
· Work with the Asset Manager to maintain a ledger of current assets, consisting mainly of machinery and equipment.
· Record additions and disposals of assets, ensuring records are complete, accurate and supported by documentation.
· Initiate monthly invoicing of asset rents to subsidiary companies.
· Provide refinement and improvements to the asset tracking process as needed, working primarily in Excel.
Other Bookkeeping & Administration (approx. 20%)
· Provide support with the accounting of the company’s holding companies as time permits.
· Assist with ad hoc reporting, data entry and analysis in Excel as required.
· Support the Finance & Accounting team with other duties as assigned.
Qualifications & Skills
· An understanding of bookkeeping principles (accounts payable, banking, expense and revenue recording, accruals).
· Above-average Microsoft Excel skills, including sorting/filtering, lookups and building and maintaining large data listings and schedules.
· Certificate or diploma in accounting, bookkeeping, or business administration, or an equivalent combination of education and experience.
· Strong attention to detail and accuracy in data entry and record keeping.
· Good organizational skills and ability to manage multiple recurring tasks and deadlines.
· Professional communication skills and the ability to work with operations personnel and colleagues across subsidiary companies.
· Discretion in handling confidential financial information.
· Prior use of an ERP, such as SAP.
· An agricultural background or experience in agricultural, industrial or multi-entity business environment would be asset.
· Exposure to fixed asset accounting, inventory tracking or intercompany transactions would be an asset.
Physical Requirements
· Ability to perform job duties that may require sitting, standing and walking for extended periods
· Ability to perform repetitive tasks, including keyboarding, data entry and document handling
· Ability to bend, crouch, kneel, reach and stretch as required to perform job duties
· Ability to lift, carry, push or pull items 30lbs in accordance with safe work practices
· Ability to work in various environments (office, site, warehouse, etc.,) as required by the role
· Ability to operate standard office equipment or role-specific tools safely
· Ability to work regular work hours and occasional overtime, as required
