Human Resource Services is seeking a Facilitator, Human Resource Management Systems (HRMS) – PeopleSoft to join our team!
The Facilitator, Human Resource Management Systems (HRMS) – PeopleSoft is responsible for managing and maintaining accurate job data information for all employee groups within the Division. This role involves auditing, analyzing, and entering data into PeopleSoft, ensuring data integrity and compliance with policies and regulations. The Facilitator, HRMS - PeopleSoft supports HRMS projects and initiatives, contributing to the Division's strategic goals by providing reliable data and facilitating efficient HR processes.
This position is eligible for a hybrid work schedule and is based out of Lumen Christi Catholic Education Centre (9405 50 St NW, Edmonton, AB).
RESPONSIBILITIES:
Manage Data Integrity and Accuracy

Verify and input job data information for all employee groups, ensuring accuracy and completeness.

Analyze job data information to identify and correct errors, maintaining data integrity.

Enter salary adjustments, allowances, and employment status changes ensuring up-to-date records.

Maintain accuracy of all onboarding and employment data to support HR operations.

Maintain position data, including job codes and working titles, to support organizational staffing needs.
Conduct Audits and Reporting

Audit data transferred from Taleo into PeopleSoft to ensure accuracy and completeness.

Act as the contact for reporting and day-to-day operational requests to provide timely information.

Review month-end data for accuracy and completeness to ensure reliable reporting.

Develop and maintain spreadsheets detailing administrative allowances to support financial accuracy.
Facilitate Communication and Consultation

Respond to inquiries from employees and managers regarding payroll, benefits, and HRMS processes.

Assist with training activities and initiatives to enhance staff capabilities.

Coach staff on processes and information requirements to ensure compliance and understanding.

Support Facilitator HRMS – Absence Management in daily activities.
Coordinate System Processes and Projects

Develop documentation of HR processes to standardize procedures and improve efficiency.

Manage year-end and new-year processes, ensuring accurate data transfer and contract management.

Assist the Manager, HRMS with projects, initiatives, and priorities to support strategic goals.

Perform user acceptance testing and troubleshoot problems to ensure system functionality.
QUALIFICATIONS

Diploma in Business Administration, Accounting, or a related field.

Three years of directly related experience.

Understanding of electronic Human Resource Management Systems (PeopleSoft), electronic attendance systems (Frontline), and electronic staffing programs (Taleo and Apply to Education).

Knowledge of collective agreements, terms and conditions, Human Resource policies, practices and procedures.

Basic accounting and payroll principles and practices procedures.

Awareness of Freedom of Information and Protection of Privacy Legislation (FOIPP) and records management principles.

Understanding of workplace safety and Occupational Health and Safety regulations.

Familiarity of workflow principles, continuous improvement practices, and project management techniques.

Knowledge of Division and department programs, business operations, and school organizational structures.
