Junior Bookkeeper / Accounting Assistant
We are seeking a detail-oriented Junior Bookkeeper / Accounting Assistant to support our current bookkeeper with day-to-day bookkeeping operations across IH and AOL. This role involves working with multiple company accounts, payment systems, bookkeeping files, and internal reporting structures.
The position includes invoice entry, payment tracking, reconciliations, document organization, commission and tuition records, accounts payable and receivable support, and cross-company accounting assistance. The successful candidate must be accurate, organized, confidential, and willing to learn company-specific bookkeeping procedures across multiple accounts and legal entities.
Key Responsibilities
- Support the current bookkeeper with daily bookkeeping tasks for IH and AOL.
- Enter invoices, bills, receipts, student payments, refunds, deposits, and other financial records.
- Assist with reconciling bank accounts, credit cards, payment platforms, and intercompany transactions.
- Maintain accurate records across multiple company accounts and bookkeeping files.
- Assist with accounts payable, accounts receivable, and payment follow-up.
- Support commission tracking, tuition payment records, refund records, and outstanding balance reports.
- Organize accounting documents for payroll, month-end closing, accountant review, audit, and compliance purposes.
- Learn and follow bookkeeping workflows for each company, including different account structures, chart of accounts, payment processes, and internal procedures.
- Assist with cross-company reporting and ensure transactions are allocated to the correct company, department, program, or account.
- Maintain strict confidentiality of company, student, employee, payroll, and financial information.
- Perform other related administrative or accounting support duties as required.
Qualifications
Required:
- Basic bookkeeping or accounting education and/or experience.
- Strong attention to detail and accuracy.
- Ability to follow procedures and ask questions when clarification is needed.
- Proficiency with Excel and/or Google Sheets.
- Ability to manage confidential financial information responsibly.
- Strong organizational skills, reliability, and willingness to learn across multiple companies and accounts.
Preferred:
- Experience with QuickBooks, Sage, Xero, or similar accounting software.
- Experience with school, tuition, student payment, refund, or commission records.
- Experience supporting payroll, reconciliations, or month-end bookkeeping.
- Familiarity with multi-company or multi-account bookkeeping.
