Job Title: Accounts Payable Specialist

Position Overview
Preston Hardware is looking for an experienced Accounts Payable Specialist to join our finance team. This is an important role within the department and will help support the day-to-day accounts payable workload, vendor communication, payment processing, and inventory-related transactions.
The ideal candidate will have solid accounts payable experience, strong attention to detail, and a good understanding of inventory processes. Experience working with Sage 300 is considered a strong asset.
In this role, you will work closely with the finance, purchasing, receiving, and inventory teams to ensure invoices, purchase orders, vendor accounts, and inventory-related transactions are handled accurately and efficiently.
Key Responsibilities
- Review invoices, purchase orders, and expense reports to ensure accuracy, completeness, proper approval, and compliance with company policies.
- Enter invoices accurately and efficiently into the accounting system.
- Respond to vendor inquiries by phone and email in a timely and professional manner.
- Investigate and resolve invoice discrepancies, billing issues, and purchase order concerns.
- Work with internal teams, including receiving, purchasing, and inventory, to resolve invoice and PO-related issues.
- Review vendor payment terms and assist with timely and accurate payment processing.
- Prepare and process EFT payments and cheques.
- Support inventory-related financial transactions and assist with accurate tracking and reconciliation.
- Work closely with the inventory team to help maintain accurate inventory records and valuation.
- Assist with account reconciliations and accounts payable reporting.
- Support month-end and year-end closing processes.
- Maintain accurate records and ensure confidentiality of financial information.
- Contribute to process improvements within the finance department.
Qualifications
- Previous experience in accounts payable is required.
- Experience with inventory-related transactions is strongly preferred.
- Experience with Sage 300 is considered a strong asset.
- A degree or diploma in accounting, finance, business administration, or a related field is preferred.
- Strong understanding of accounts payable processes and vendor payment procedures.
- Proficiency in Microsoft Excel and Word.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong communication and problem-solving skills.
- Ability to work well independently and as part of a team.
