THE OPPORTUNITY:
The Warranty Administrator is responsible for managing all aspects of the company's warranty program, ensuring warranty claims are processed accurately, efficiently, and in accordance with company policies and customer agreements. This role serves as the primary liaison between customers, dealers, service centers, engineering, production, purchasing, quality, and suppliers to resolve warranty issues while minimizing company costs and improving product reliability.
The Warranty Administrator maintains warranty records, analyzes failure trends, supports continuous improvement initiatives, and ensures excellent customer service throughout the warranty process.
RESPONSIBILITIES:
- Receive, review, and process warranty claims submitted by dealers and customers in accordance with company policies and procedures.
- Verify warranty eligibility and assess supporting documentation, including service reports, photographs, invoices, labor hours, and parts information.
- Serve as the primary point of contact for warranty-related inquiries, providing timely updates and resolving issues professionally.
- Coordinate warranty approvals, repair authorizations, and supplier recovery claims for defective components.
- Collaborate with Engineering, Production, Quality Assurance, Purchasing, Customer Service, Parts, and Field Service teams to investigate product issues and support corrective actions.
- Monitor warranty costs, ensure compliance with company policies, and identify opportunities to improve efficiency and reduce expenses.
- Prepare and analyze warranty reports, identify trends, and communicate findings to support product quality and continuous improvement initiatives.
- Maintain accurate warranty records and contribute to the ongoing improvement of warranty processes and customer satisfaction.
QUALIFICATIONS:
- Diploma or degree in Business Administration, Engineering, Manufacturing, Supply Chain or related field.
- 3–5 years of experience in warranty administration, aftermarket support or a related customer service function.
- Experience in trailer manufacturing, heavy equipment, transportation, or industrial manufacturing is preferred.
- Ability to interpret engineering drawings, bills of materials (BOMs), and other technical documentation is considered an asset.
- Advanced Excel (including pivot tables, data analysis and scheduling tools), as well as Microsoft Outlook and Word.
- Excellent communication, organizational, and problem-solving skills, with a customer-focused mindset. Demonstrated ability to manage multiple priorities, maintain a high level of accuracy and attention to detail, and make sound decisions.
